We built a robotic process automation (RPA) over the last few years. However, we needed additional bandwidth to help with the backlog of projects. We also needed a seasoned resource to help our development team in implementing best practices and improving the quality of our products.

We began working together in October 2021, and it’s ongoing.
What evidence can you share that demonstrates the impact of the engagement?
We initially had a one-month engagement, but we decided to extend our partnership, and we’ll most likely extend the partnership again in the future. We’re very happy with how things have progressed. They deliver high-quality code, and they deliver solutions faster than our internal resources. On top of that, they’ve been able to create more complete solutions. Since that’s the case, we’ve decided to hire them for a dual role — to deliver solutions and provide consulting services.
How did Flobotics - RPA & UiPath Development perform from a project management standpoint?
Their resources have been good at communicating with us, and we have daily stand-ups every morning. We also communicate through email, and we have conversations with Karl on an as-needed basis. We had some initial concerns about the timezone, but that hasn’t been an issue at all.
What did you find most impressive about them?
It’s really difficult to find skilled RPA and UiPath resources, but Flobotics has been able to give us a skilled resource that can provide top-notch services.
Are there any areas they could improve?
No, I really can’t think of something because we have a great relationship. Overall, I’m glad that I found Flobotics.

We tiptoed into the relationship and I think that’s good for any kind of relationship, similar to the concept of try before you buy.

I’m the director of IT and IS at a nonprofit healthcare agency. We primarily deal with mental health, homeless families, and transitional youth.
What challenge were you trying to address with Flobotics?
It was our first foray into UiPath, and we didn’t have the expertise we needed on staff that we needed. Our foster families have to log into a third-party HR system and login to multiple tabs.
Employees have to login to multiple families and see where they’re at and if they’ve uploaded the appropriate paperwork. The system offered no way of alerting users when paperwork is completed. They had to manually login each day to see what was completed.
What was the scope of their involvement?
We were looking for a process where we could have UiPath login to the system, do basic web scraping and put that into an Excel format. Flobotics made it so users could filter by day or family, and see if that appropriate paper work had been completed.

How did you come to work with Flobotics?
Karl’s cofounder had a cofounder on UpWork. It was their respective rating on Upwork, the number of jobs they’d completed, and the satisfaction rating that led us to have them as our first choice.

What is the status of this engagement?
This project took place in July 2021.
What evidence can you share that demonstrates the impact of the engagement?
I’ve only been able to show the POC to our stakeholders. They were excited. It’ll save them 30–40 minutes of manual entry per day.
How did Flobotics perform from a project management standpoint?
Since we deal with healthcare, we need to be HIPPA compliant and can’t give out information to vendors. Everything was seamless with Karl, and we were able to coordinate everything with him. He was able to help me get this project completed before I went on holiday, which was a bonus.
What did you find most impressive about them?
Their flexibility to work within our confines and limitations stands out. Even though they offered to look at all the data for us, we knew we couldn’t do that because it’s stipulated in our insurance policy. Karl was gracious and helped us move forward in a way we could still be HIPPA compliant.
Are there any areas they could improve?
He could be a bit more flexible on the time. Karl was only available in the mornings, which happened to work out for me.
Do you have any advice for potential customers?
My advice is to make sure you know your full flow chart before you start. Have it all there and ready, that way Karl can work more efficiently than just fumbling around.

I’m a project manager for a company that leverages AI to automate invoice processing in the accounting industry.
What challenge were you trying to address with Flobotics?
We had an internal process in our company that was very manual. It took a lot of time from several of our team members to do this process, so we reached out to Flobotics to help us with a robotic process automation (RPA) implementation.
What was the scope of their involvement?
First, we presented Flobotics with the challenge that we were going through, and they gave us the option of building the automation for us.
We wanted to use UiPath, and Flobotics understood right away how they could provide a solution to automate this process for us. They also got us a pretty good deal with the UiPath Orchestrator and with the cost that comes up with subscribing to UiPath. Additionally, they suggested simplifying our process while leveraging this software, which showed us that they’re very knowledgeable.
The main part of the project has been built, and currently, we’re relying on Flobotics’ consultants for ongoing maintenance.
What is the team composition?
Initially, we were discussing mainly with one of the owners of Flobotics. Now, we’re working with one of their top engineers. We also talked with their sales manager during the engagement process while signing the initial documents.
How did you come to work with Flobotics?
We knew that we wanted to work with UiPath. Flobotics were experts on it, and they had very good ratings.
At the time, we reached out to several companies to compare them against each other and see which one would be the most cost-effective. Additionally, we were looking for a company that would start right away and get the job done.
After some initial discussions with Flobotics’ owner, we decided to go with them because they met our exact expectations. They got straight into the work, didn’t give us a lot of sales talk, and cut to the chase to get our product off the ground as soon as possible.
How much have you invested with them?
We had an original contract of $20,000, but we extend the project for ongoing support and advice. Now, we’re in the $20,000–$25,000 range.
What is the status of this engagement?
We were in discussions with Flobotics at the end of 2020, and we started working together in January 2021. Our engagement is ongoing.
What evidence can you share that demonstrates the impact of the engagement?
Flobotics has been able to automate a very challenging process that’s based on a constantly changing UI of one of the companies that we work with.
Flobotics’ RPA has automated one of our very tedious internal processes, so we’re getting a lot of time savings. We love working with them because they’re very smart and straightforward people. We can tell that they really know what they’re doing.
How did Flobotics perform from a project management standpoint?
We’re very happy with Flobotics' performance and immediate response times. Our process has a certain percentage of failure rate, which isn’t in their hands. However, each time something fails because of a UI change, their top engineer can address it right away.
Even though we’re in the US and they’re in Europe, we’ve always received an immediate response to any requests or alerts that we need to update. Working with them is great.
Flobotics has also been really good at sending reports on the hours used and cutting down on the sales talk, which happens with many large companies. They always get straight to the project, which is favorable for us because, as we’re paying for the hour, we’re paying for actual work.
For communication, we have a shared Slack channel, which has worked out really well.
What did you find most impressive about them?
We favored Flobotics based on cost comparisons and their team. As soon as we were introduced to them, we realized that they were a smaller company with fewer overheads.
Fewer people are involved in the process, which really fits our needs. Other companies might have a bigger need for reports and analyses before kicking off the work, but this is not our case. We just want to get the work done.
Additionally, every time we have a call, we can tell that they’re experts in the field. They advise on the best processes and ways to build the bots because they have that knowledge.
Are there any areas they could improve?
One suggestion I have for Flobotics is that they could build out their service offering from the beginning. Once they got more established, they let us know that they had standard service offerings for ongoing support and maintenance, which would have been good to know beforehand. However, this is not a complaint because we have that in place now.
Do you have any advice for potential customers?
Have a very clear description and documentation of the business processes that you want to automate, and be very clear about what you want to achieve. As long as Flobotics gets all the information that they need, they will quickly work on your project.

It’s effective because there’s no human contact needed, aside from reviewing the work at the end of the day. The new tool definitely saves us time. It also helps that we don’t need another person doing that work.
We’re happy thus far. Initially, there was a piece that didn’t work. When I reached out to them, they were extremely accommodating and jumped on a quick Zoom call with me to resolve the issue.

Since it was such a short project, we didn’t need to collaborate much. We communicated via Zoom as needed.

They were highly focused on customer service. Their work is also very clean. They were really responsive even after the project was finished to help me with an issue I was having.

We needed help with automation for our patient registration process.
What was the scope of their involvement?
Flobotics helped us develop robotic automation to assist our patient flow. They tied in our registrations from our website and used that information along with UiPath to allow us to have the automation log all the patients we received from our registration portal into our electronic medical record system.
What is the team composition?
I worked primarily with two individuals: the co-founder of the company, who served as a project manager, and a lead developer.
How did you come to work with Flobotics?
We were looking for people who had worked with UiPath before. I had seen good reviews of Flobotics, and as soon as we had our first phone call with them, we were impressed with everything that they had to offer and knew that we were in good hands with them.

The time it takes for the automation to fully log a patient is now a minute per submission, which shaves off around 3–5 minutes of data entry time compared to manual entry.
The automation has saved us a considerable amount of time. Everyone has said it works fantastically and that it’s freed them up a lot. Our front desk is very happy.
How did Flobotics perform from a project management standpoint?
Flobotics was fantastic. They were easy to get in contact with. When we had issues over the weekend, I was able to get a hold of our project manager to assist us, and he was able to fix them quickly. We communicated through email and video calls.

The personnel were able to let us know whether the project was feasible or not. The team was also very knowledgeable in UiPath.
We didn’t have much knowledge of automation software, but they explained everything very well to us. If we have an idea for more automation in the future, we know we’re in good hands as far as knowing if it’s possible or not.

No, everything has been wonderful.

Have a clear idea of what your project is so that they can let you know if something is missing. At the same, they’re very accommodating and will help you come up with ideas to fully round everything out. Flobotics was amazing.

I’m the enterprise architect for a national mortgage banker that is licensed in 48 states and has retail, wholesale, and correspondent channels. We’re experiencing record volumes; I believe we funded $1.5 billion in loans last month alone.
What challenge were you trying to address with Flobotics?
We’re trying to deliver disclosures from the system to a web portal and leverage different technology so that people don’t have to go in and do the process themselves. We’re looking to take the burden off of the workforce by creating an automated process.
What was the scope of their involvement?
We purchased the UiPath platform software and the different unattended and attended bots through Flobotics based on their recommendations. I’ve created an innovative way to make something happen that wasn’t possible before, and I was able to accomplish it through UiPath and Flobotics. We’ve tied these systems together in a way that’s never been done before.
Now, we’re working with their developers and programmers to determine what steps need to be taken in the proprietary LOS (loan origination system) and different systems.
What is the team composition?
I work with Karol (Co-Founder & Lead Architect). He serves as the developer on their side to help program the automation. From my view, Flobotics specializes in helping program automation with the UiPath software.
How did you come to work with Flobotics?
I don’t remember exactly how we came across them, but I think it was through a UiPath resellers and developers platform. We reached out, and they seemed to have good ratings and feedback from different people.
We did a couple of trial projects; Flobotics has always been great, but we needed to make sure that the UiPath platform worked well with our LOS software and some of our other technologies. What we did ultimately accomplish was fairly complex, and we weren’t sure if UiPath had the capabilities to do everything necessary to make that happen.
How much have you invested with them?
Between purchasing the software and development hours, I believe we’re at about $55,000–$60,000.
What is the status of this engagement?
We’re still working with Flobotics because we’ve taken on other projects. We initially contacted Flobotics at the end of April or early May 2020.
What evidence can you share that demonstrates the impact of the engagement?
The biggest measure of success is that we’ve created the ability for our third-party originators, or broker community, to be able to preview borrower disclosure documents on a web portal and then download those documents in one click. Our work with Flobotics helps facilitate that; the process leverages the capabilities of different systems to make it happen, as no individual system has the capability on its own. We’re very satisfied with their work.
How did Flobotics perform from a project management standpoint?
They do very well in terms of project management and communication. Right now, we mostly communicate through email.
What did you find most impressive about them?
Within very short-term working sessions, they’re able to automate the steps I communicate to them. It’s been a very dynamic experience, as the developer doesn’t have to take the time to figure out what steps need to be taken. I just give them the exact steps, and they’re able to make the different backend automations work to make this come to life.

My boss found them. We were looking for an offshore team to develop these types of solutions. We had a couple of intro calls before beginning the work and reviewed each other’s partnership agreements. We chose them because they clearly knew what they were doing.
They were very competent in terms of the functional domains that they’d be supporting us on. On top of that, their English skills were great, so I had no concern putting them in front of a client. Their rates were competitive and they were ready and willing to lean in as a partner for us and our client.

We kicked off in June and wrapped up in July 2020.

They delivered a holistic solution that worked exactly the way the client needed it to. We had a very aggressive timeline, and they still met their deadlines and remained on budget. It was a quality product and met they met the project scope.
How did Flobotics perform from a project management standpoint?
Qualitatively, they were responsive, we had daily standups with them, they were very professional. All around, they were solid partners.
They worked in an agile fashion, which worked very well for us. We had daily standups to review our progress, so sprint planning, and hold testing sessions. They were very communicative and managed the team well. The two primary solution architects were constantly in touch with our team and our client’s project manager.
What did you find most impressive about them?
They were willing to go above and beyond to meet our needs. They’re based in Poland and we’re in the US, but they were willing to have meetings late in the evening, outside of business hours. They were willing to shift things around when we needed to accelerate the deadline. They pulled extra resources into the project or shifted their load so they could continue to deliver.
Are there any areas they could improve?
Thinking back on the engagement, nothing really stands out to me.
Do you have any advice for potential customers?
I would encourage future clients to open the conversation up beyond just the core scope of what they might be asking Flobotics to do. They have a lot of expertise in how to properly stand up and deploy RPA solutions in a way that will be sustainable and scalable. Regardless of how limited the scope of the project may be, they can really advise on how to make the program more broadly successful.

Like any technology project, the clearer you make the specifications at the beginning of the project, the smoother and quicker the process goes. Having a clear requirement process at the beginning was very helpful for us.
While the work is ongoing, the Flobotics team has been able to deliver exceptional code in a quick and efficient manner. Timely and responsive, their ability to build solid solutions enables them to foster strong collaboration. Continued collaboration is possible as a result of their performance.
