What challenge were you trying to address with Digital Butlers?

We needed help with web development and design.

SOLUTION

What was the scope of their involvement?

We discussed our project scope with Digital Butlers and communicated our needs. Then, they evaluated our original website page-by-page and decided which content they should and shouldn’t include on the new site. 

They provided us with 15–20 mock-ups, and we chose two designs to move forward with. We went through several iterations of mock-ups, designs, content building, and testing, and Digital Butlers developed a new site from scratch. The site has static content informing users of our company and our services. We were adamant that Digital Butlers build the site using clean, understandable code so that we could update it post-handoff, which they did. 

They implemented the latest versions of all third-party software and provided us with the build materials so we could update it later on. They continue to maintain and host the site using Webflow. They’re also going to build a separate subdomain site for our lab and research facility.

We work with Alex (CEO), who manages the project, and two other team members from Digital Butlers.

We spent a few months searching for local service providers and built a list of 40 potential development partners. We selected Digital Butlers due to the cost-effectiveness and creativity presented in their proposal. They were very open to exploring our rebrand and development process with us instead of just executing requirements.

We’ve invested $24,000–$28,000 in the partnership with Digital Butlers. Our investment for the next phase is projected at $10,000–$12,000. 

What is the status of this engagement?

We began working with Digital Butlers in January 2021, and they delivered the website in August 2021, but the partnership is ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement? 

It’s hard to track concrete metrics because we eliminate tracking and analytics features due to the cybersecurity services we provide. However, we immediately received positive feedback from our clients regarding the site’s cool, clean design and ease of navigation, which has helped us stand out among our competitors. 

More people are finding our services through the website, which is great. We wanted to stand out, and Digital Butlers has helped us creatively showcase our services.   

How did Digital Butlers perform from a project management standpoint?

Digital Butlers performed well from a project management perspective. There was a slight misunderstanding at the beginning of the project due to vagueness regarding costs. The initial contract wasn’t clear about whether they’d bill us for multiple iterations within the same milestone. Once we regrouped and clarified expectations, it was smooth sailing. 

We’ve built a really strong relationship with Digital Butlers. They did a good job understanding our services and getting to know our company to best position us to reach our target audience with an attractive brand. We had several iterative meetings, and I changed the requirements halfway through, and Digital Butlers was gracious enough to change directions and accommodate us. They’ve far exceeded our expectations.

We use a project management tool to track milestones and view cost analyses, but I’m not sure which one. We also use GitLab to track engineering progress on our end. We typically meet via Google Meet, and I communicate with Alex via WhatsApp.

What did you find most impressive about them?

Digital Butlers’ creativity is their biggest strength. They provide out-of-the-box solutions and go outside their comfort zone to try new things. We’ve worked with other development partners who only want to operate with tasks they’re comfortable with, and Digital Butlers is willing to try anything.

They’re really talented and driven. I appreciate that they take on challenges to meet our specific needs instead of pigeonholing our brand into one thing they’re comfortable with. They’re fast learners and willing to experiment and figure out different ways to achieve what we’re looking for. For example, they’re working on creating a dynamic image for the site background, which they had never done before. They take on new challenges in stride, and I value that. 

Are there any areas they could improve?

My only feedback would be for them to tighten up their contractual aspects and ensure terms are clearly outlined at the beginning of projects, so clients understand what they can expect regarding costs and deliverables.

Do you have any advice for potential customers?

Try not to judge Digital Butlers based on their online portfolio. While impressive, it’s not reflective of their true potential. They provided us with phenomenally different mock-ups than what they represent in their portfolio. Also, encourage them to do research and push them outside their comfort zone to make the most out of the engagement. Once we did that, Digital Butlers shined; we saw incredible results, so I’d encourage others to do the same.

After launching the site, our domain authority increased and we began to rank for key terms such as "car subscription software". It was also created in time for a big event we were attending.

We had infrequent calls but kept in close contact through WhatsApp and over email. They sent comprehensive videos and voice notes to provide updates, which was very helpful throughout the process.

What did you find most impressive or unique about this company?

They faced some difficulty re-structuring their company due the events in Ukraine, with some of their team based in the country. They only asked for a week off to get themselves organised and then continued to work on the project.

Are there any areas for improvement or something they could have done differently?

We are don't really like the way their payment structure works, as we were asked to pay for work we weren't happy with towards the beginning of the project. However, they were flexible and we managed to find an agreement we were both happy with.

We had a request to build a creative, professional, and clean website to promo our services to brands with whom we are working. We also wanted an easy way to manage content on this website. This is why we wanted to use Webflow.

We found Digital Butlers in global designers rating on the Webflow Experts list. We liked posted works and got in contact with the guys. After a discussion of the price and working process, we decided to work with Digital Butlers.

Our work started from the clarification of the style that we prefer in the website design. Digital Butlers designer provided us with some references and we chose the style that we liked the most. After clarification with a direction guys prepared a few options for the first 3 sections of the homepage.

We chose the best one and their team finished the whole page. Then we moved to the development stage and completed the website. During the process of design & development illustrator from Digital Butlers also worked on custom illustrations (draw sketches and color them).

At the beginning of our communication, we mainly spoke through mail messages & Google meets. After some time we started using Telegram. The communication process was easy and clear. Regarding management style.

The process of development had transparent and solid checkpoints that helped us to get to the result. There were approval points and Digital Butlers’ team really heard what we asked to achieve.

What did you find most impressive or unique about this company?

Digital Butlers really cares. I saw that everything they offered focused on helping us. The communication process was transparent and quick. Their manager was always online.

And we really love the design. We are still working together and will do more awesome things together in the future.

I reviewed recommended Webflow agencies through Webflows official marketplace and then shortlisted and contacted some to discuss the project in more detail. I found Digital Butlers to be swift in their response to our questions as well as being confident in their ability to deliver a product that would match our high expectations.

We used Notion to manage the project and created a list of different pages required with prioritisation and statuses to track progress. We then created a project roadmap with milestones and dates to work towards. At this point we were ready to start the design process where we collaboratively worked on page layouts and designs with our marketing team and a designer from Digital Butlers to finalise and sign off each page design.

Once ready a developer from Digital Butlers setup the Webflow CMS and started on the page builds. Once the pages were build we worked with our developers to create and insert React components where needed in the pages.

We had support from 1 designer, 1 developer and a Project manager to help manage the delivery of the project.

We have received lots of positive feedback internally and externally commenting on how the site updates and brand update has helped in positioning Karshare as a modern tech brand. We also saw KPI's in crease in the weeks after launching the improved pages.

We used Slack and Notion to project manage and communicate and received timesheet breakdowns with invoices to see how time was spent and what we were being billed for.

None, they have a new payment system now which has helped and has rectified the only issue we had.

The most immediate measurable outcome was the successful launch of a fully responsive, high-performing website. The site works seamlessly across desktop and mobile, with strong performance and site speed metrics and no major technical issues post-launch.
From a business and brand perspective, the primary goal of the project was to transform a very dated, non-responsive website into a modern, polished, premium digital experience that better reflected the client’s positioning.
We absolutely achieved that. The new site represents a significant step up in terms of visual quality, usability, and overall brand perception.
The client has been extremely happy with the results and has shared that they’ve received numerous compliments on the new website. The final product exceeded their expectations in terms of both aesthetics and functionality.
