OPPORTUNITY / CHALLENGE
What challenge were you trying to address with Profitline Business Process Outsourcing?
We hired Profitline Business Process Outsourcing with clear goals focused on execution. We aimed to strengthen our claims chain, control third-party transportation, and manage logistics. We also wanted to improve operational and financial decision-making.Our main objectives were to implement a centralized logistics control center, enhance transportation management (TMS) capabilities, and professionalize third-party transportation management. This included trip tracking, time control, SLA compliance, incident management, and logistics cost control. We also wanted to automate critical operational flows within the claims chain to reduce manual intervention, improve end-to-end traceability, and increase real-time visibility of shipments, deliveries, and critical events.Additionally, a key goal was to use technological development and advanced data analytics to consolidate transportation, logistics provider, operations, and financial information in one environment. This would allow us to generate actionable insights on claims chain performance, fleet utilization, route and provider efficiency, cost deviations, and operational risks.Overall, our goal was not just to outsource logistics operations but to work with a partner who could integrate supply chain, third-party transportation, technology, and analytics to achieve measurable improvements in operational efficiency, control, scalability, and resilience.
SOLUTION
What was the scope of their involvement?
Profitline Business Process Outsourcing has handled an end-to-end scope focused on strengthening our claims chain, logistics control, and technological enablement of our operation. Their work includes designing and implementing a centralized logistics control center with real-time visibility into transportation, shipments, delivery status, incidents, and SLA compliance.
Profitline Business Process Outsourcing also supports the optimization and operation of our TMS, integrating information from third-party carriers, internal operations, and financial systems. This integration has improved traceability, cost control, and execution reliability. It also optimizes the price per kilometer based on data analysis of routes, volumes, cargo types, provider performance, and operational conditions.
A key component of the project is process automation and technological development. Profitline Business Process Outsourcing has redesigned and automated critical operational flows in our claims chain and logistics, reducing manual tasks, standardizing processes, and improving information quality. This work is complemented by the development of dashboards and advanced analytics, consolidating logistics, operational, and financial data in one environment.
Profitline Business Process Outsourcing has designed and built custom technological solutions, integrating the TMS with operational, financial, and third-party systems. This integration ensures end-to-end traceability between logistics events, costs, and financial results. The team has also developed automated flows, analytical models, and technical dashboards that collect data directly from operational sources. This reduces manual dependencies and improves real-time information quality and availability.

RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
Our project has generated clear and measurable results, showing concrete progress in logistics control, operational efficiency, and claims chain management. We've achieved significant improvements in the visibility and control of our logistics operation. We've moved from fragmented and reactive monitoring to centralized real-time control through our logistics control center.
This has reduced our response times to incidents, improved SLA compliance, and strengthened coordination between operation, transportation, and planning. From a cost and efficiency perspective, data-driven optimization of transportation costs, particularly the price per kilometer, has led to measurable reductions in rate variability and better control over costs associated with routes and third-party carriers.
Moreover, process automation has reduced cycle times, manual intervention, reprocessing, and operational errors. TMS optimization and integration, along with automated flows, have improved end-to-end traceability between trips, providers, costs, and financial validation. This has strengthened operational control and cost governance.Additionally, advanced analytics and real-time dashboards have enabled more proactive and data-driven decision-making. This allows us to anticipate risks, prioritize critical events, and optimize resource use. Overall, the project has resulted in measurable improvements in efficiency, cost control, operational reliability, and scalability. This confirms the real impact of integrating logistics, technology, and data analytics into one solution.
Our cycle times in logistics and transportation processes have been reduced by approximately 20%–35%. This is especially true for activities like transportation assignment, trip validation, incident management, and operational closure. Through analytics and rate standardization, we've achieved an 8%–15% reduction in cost per kilometer. We've also seen less price dispersion between routes and third-party carriers.
Our SLA compliance level has increased by 10–20 percentage points, thanks to real-time monitoring, early alerts, and proactive event management from our logistics control center. Automation and flow standardization have reduced reprocessing and manual errors by approximately 30%–45%. This has improved the reliability of our operational and financial information.
Moreover, our response times to critical events have been reduced by around 40%. We've moved from a reactive model to one based on centralized control and management by exceptions.
These indicators reflect sustainable and cumulative improvements enabled by the combination of centralized logistics control, TMS optimization, process automation, and advanced analytics. They're not the result of short-term adjustments. In fact, our results have been sustained over time and aren't limited to the initial effect after implementation. Our technology, control models, and indicators have remained stable and consistent. We've even seen additional improvements with continuous use as we become more familiar with the system.
This is possible because the implemented solutions don't depend on specific manual efforts. Instead, they rely on standardized and automated processes supported by real-time data. The centralization of information, monitoring dashboards, operational governance schemes, KPIs, and event and exception management have allowed us to monitor deviations early and correct them before they impact performance.
In particular, metrics like SLA compliance, cycle times, cost control, and price per kilometer have remained within controlled ranges over time. In summary, these aren't temporary improvements but installed operational and analytical capabilities. They've allowed us to sustain results, adapt to changes in demand or operation, and continue optimizing performance.
How did Profitline Business Process Outsourcing perform from a project management standpoint?

Overall, their execution is proactive, well-organized, and aligned with operational and business objectives. They go beyond just completing tasks.
What did you find most impressive about them?
What stands out the most about working with Profitline Business Process Outsourcing is their ability to handle complex problems from start to finish. They don't fragment responsibility between operation, technology, and analysis. From the beginning, they have an integral vision. They understand our operation in detail and turn that complexity into clear, measurable, and controllable processes.
Their practical approach is especially valuable. They don't propose theoretical solutions. Instead, they build tools and control mechanisms directly based on our operation's reality. They adjust these tools as our business requires.
The combination of operational judgment, execution discipline, and smart data use has allowed us to move from reactive management to a much more anticipative and controlled model. This has made a real difference compared to our previous experiences with other providers. With over 20 years of experience in the region, data-driven Profitline demonstrated solid and consistent execution, with a real impact on operational control, efficiency, and data-driven decision-making.
Are there any areas they could improve?
I can't think of anything for Profitline Business Process Outsourcing to improve.
