OPPORTUNITY / CHALLENGE
What challenge were you trying to address?
Olearis developed and helped launch a cross-platform mental wellbeing mobile application for our company, including iOS and Android builds, backend infrastructure, AI chat and voice features, and app store submissions.
From a delivery standpoint, the application was ultimately published on both platforms and core functionality (text chat, voice interactions, subscriptions, and backend systems) was implemented. Communication during the project was generally responsive, and regular status updates were provided.
However, following the end of the engagement, I conducted a detailed post-contract financial and timesheet audit. This audit revealed significant concerns around hourly billing practices. In particular, I identified repeated and overlapping task descriptions across multiple weeks, uniform daily hour patterns, and a lack of verifiable proof of work (such as commits, work-diary evidence, or artifacts) corresponding to a substantial portion of the hours billed.
While source code and assets were delivered, the documentation and evidence provided were not sufficient to independently verify that the billed hours accurately reflected the work performed. This materially changed my assessment of the engagement compared to my initial impression during active development.
In summary, while the project did result in a launched product, I would advise other clients using hourly contracts to closely monitor billing, require strong proof-of-work practices, and ensure clear separation of scope between development and design services.
SOLUTION
What was the scope of their involvement and team dynamic?
Olearis was engaged to provide end-to-end development and design services for a cross-platform mental wellbeing mobile application, including iOS and Android development, backend infrastructure, AI features, and app store launch support. The team typically involved 2–5 members, with communication handled through virtual meetings and messaging. While a working product was delivered, a later review of project records raised questions around how some effort was allocated across the team.
What's the status of this engagement?
The engagement has concluded, and the contracts were closed following completion of the project.
RESULTS & FEEDBACK
How did your relationship with your partner evolve?
The relationship was collaborative during the active development phase, with regular communication and progress updates. Over time, and particularly after project completion, concerns emerged around billing transparency and verification of effort, which affected overall trust. As a result, the engagement concluded professionally but without continuation.
In what ways can they improve?
They could improve by providing clearer, verifiable proof of work for hourly billing, such as detailed task breakdowns and stronger documentation linking effort to deliverables. Clearer separation of scope between development and design services would also help improve transparency and trust.
What advice do you have for clients with similar needs to yours?
Clients with similar needs should clearly define scope and milestones upfront and closely monitor hourly billing throughout the engagement. Requesting regular proof of work and maintaining clear separation between development and design responsibilities can help ensure transparency and alignment.

RESULTS & FEEDBACK
What were the measurable outcomes from the project that demonstrate progress or success?
The collaboration with Olearis delivered several clear, measurable outcomes:
Successful launch on both iOS and Android:
The HearMeOut mobile app was fully approved and published on the App Store and Google Play — a major milestone given Apple’s strict review requirements.
Functional AI-driven wellbeing platform:
The app now provides reliable, real-time AI chat and voice support using multiple OpenAI models, with smooth transcription, stable conversation flow, and no critical cut-offs.
Improved performance and stability:
Through their optimizations, the app maintains fast response times, reduced audio latency, and stable operation across a wide range of devices.
Subscription system working end-to-end:
Auto-renewable subscriptions were implemented, tested, and verified to function correctly in production for both platforms.
Successful compliance with app store guidelines:
Olearis helped navigate several Apple review challenges, resulting in full approval and public release.
Positive early user engagement:
Early users have been able to interact with the app without major issues, confirming that core features (real-time chat, voice mode, safety layer, etc.) are functioning as intended.
Production-ready infrastructure:
Backend systems, including Firebase, verification logic, and OpenAI routing, are now fully deployed and stable.
Overall, the project progressed from concept to a live, functioning product with a measurable, real-world user base — demonstrating clear success both technically and operationally.
Describe their project management. Did they deliver items on time? How did they respond to your needs?
The project management was consistently strong. Tanya, the project manager, was highly organized, proactive, and easy to work with throughout the entire development process. She maintained clear communication, provided regular updates, and made sure I always knew what stage the project was in.
Olearis delivered the majority of milestones on time, and when unexpected challenges came up — especially around Apple’s strict review process — Tanya quickly coordinated the team, adjusted timelines when needed, and kept everything moving forward without losing momentum.
They were very responsive to my needs, often implementing changes or addressing questions on the same day. Even complex feedback related to AI integration, subscription logic, or app store requirements was handled professionally and with attention to detail. I always felt heard, and they made honest, realistic assessments about what was possible within the timeline.
Overall, their project management was reliable, transparent, and very user-focused, which made the entire collaboration smooth and dependable.
What was your primary form of communication with Olearis?
- Virtual Meeting
- Email or Messaging App
What did you find most impressive or unique about this company?
What impressed me most about Olearis was their combination of technical expertise and genuine commitment to the success of my product. They weren’t just ticking boxes or completing tasks — they actually cared about building the app properly and making sure the final result matched the vision.
Their ability to handle complex AI integration, cross-platform development, backend architecture, and app store compliance all under one roof was genuinely unique. A lot of companies claim to offer “end-to-end” development, but Olearis actually delivered it.
I was also impressed by their consistency and reliability. Whenever an unexpected challenge came up — especially during Apple’s review process — they didn’t panic or shift responsibility. They calmly found solutions, advised me clearly, and kept pushing the project forward.
The level of communication and professionalism from Tanya and the team really stood out. They were transparent, patient with feedback, and always willing to dive into details or explore alternatives when needed. It felt like working with a partner rather than just a vendor.
Are there any areas for improvement or something Olearis could have done differently?
Overall, I’m very satisfied with the collaboration, but if I had to mention one area for improvement, it would be around estimating timelines more accurately for highly complex features — especially those involving new AI capabilities or unpredictable app store review requirements. Some parts took longer than initially expected, although this was largely due to the nature of the work and external factors.
That said, whenever delays appeared, the team communicated openly, adapted quickly, and resolved issues without compromising quality. Their transparency and willingness to go the extra mile made a huge difference.
In general, the experience was very positive, and any challenges we faced were handled professionally and constructively.
