We wanted to reduce the administrative burden of always keeping check if the data, specifically critical dates, matched in different software. For example, we had some dates for the patient's documents, which always need to be up to date, such as the expiry of the approval for ABA therapy. Those dates, if entered wrong, mean that we lose the patient because the re-approval process has to be done for those patients before their due dates.

A & H Solutions helped us choose the software to move away from Asana, where it was hard to maintain and manually review a lot of patient data. They also helped us automate some steps of connecting data between iConnect, Google Drive, and Lari, the new software we chose.Specifically, from iConnect, the patient data was extracted and created ABA therapy baseline documents that were put in Google Drive. The team also added relevant patient dates in Lari, categorized and migrated data from Asana to Lari, and set up appointment schedulers in Lari.

What evidence can you share that demonstrates the impact of the engagement?

Thanks to A & H Solutions' work, we had a lesser administrative burden, reducing the 30+ hours per week we spent auditing the existing documents. Before the project, we had issues where we missed deadlines because of the wrong dates that were present in at least 40% of our data. For example, we used to have 10 patients a month where we missed the deadlines. Now, we have more awareness of this data.

I’m an executive at Nutrabrain Clinic. We’re a physician-led telehealth platform treating depression, anxiety, PTSD, and chronic pain.

What challenge were you trying to address with A & H Solutions?

We needed help automating some processes. I didn’t want to hire an assistant, so I wanted some automations running in the background. For example, when patients filled out a form, they needed to be added to the EHR system. We also needed some automations regarding payment systems.

SOLUTION

What was the scope of their involvement?

A & H Solutions integrated Jotform with DrChrono. The team also worked on automating our payment systems. If a subscription was canceled or a payment had failed, we wanted to receive an email alert with the patient’s name, email, and phone number. We also needed the corresponding DrChrono prescription to be canceled. We wanted the patient’s flag in DrChrono to be canceled, basically removing the subscriber from the subscription. The subscription canceled with the date was entered for that particular patient. A & H Solutions also auto-uploaded the form submissions in PDF format to DrChrono’s patient chart. The team also set up a 45-day SMS and email follow-up on subscribers who viewed the initial $400 offer.

We didn’t hire an assistant anymore. Not hiring an assistant translated into 20 hours per week of manual work saved. Although we still have more work we can get done with the automation, we don’t have the budget.

What was the scope of their involvement?

A & H Solutions helped us implement and automate most of our processes. They automated data sync between our appointment software (Boulevard), HubSpot, and Shopify store. The team also created a base process for our marketing campaign to generate leads. Moreover, they automated virtual Google Calendar event creation when a virtual appointment is booked and synced our Shopify store to the Boulevard store.

Specifically, A & H Solutions completed data sync across multiple platforms we use. Customer data from Boulevard was synced to our CRM HubSpot, and product and inventory data from Shopify was synced to Boulevard. The team also created a custom Shopify app that helped us get better lead information after customers created an order on Shopify. Additionally, they helped us set up a base campaign using Shopify that can be reused later for other campaigns.

Specifically, we saved three hours each week to book virtual appointments manually and eight hours each week to sync information across platforms. We also made around $1,000 after marketing campaigns and increased customer engagement during campaigns.
