The team is willing to step in wherever we need to help make the project successful. They primarily work with our technical team, but have on multiple occasions helped with requirements gathering and or training of our business team as well.

It would be very helpful if I had a better way to see, review, and comment on the various items in the teams work queue. This is not a major issue, as I do have a support dashboard that shows most of what I would look for, and the team does a good job communicating statuses and such in our weekly meeting.

Equals11 led a focused discovery and framing engagement to define our BarrelCommand SaaS platform (integrated with Salesforce). Over ~20 business days, they ran stakeholder onboarding and vision alignment, mapped target user roles, benchmarked best-in-class products, and facilitated problem-framing and feature co-creation workshops. On the technical side, they evaluated Salesforce licensing/commercialization options (ISV/AppExchange vs. standalone SaaS), drafted the data model and API/integration approach with Salesforce, assessed multi-tenancy, security/privacy/compliance, scalability, and performance, and executed spike investigations to de-risk key assumptions. They closed with Sprint-0 planning: delivery roadmap, milestones/testing approach, team structure, a starter backlog, and DevOps setup (environment and CI/CD).

Equals11 delivered decision-grade clarity on time and on budget. Within the 20-business-day discovery, they completed the feasibility analysis and, one week later, delivered the reference architecture, data strategy, security model, and MVP module list. The work led us to a clear No-Go on building the product as scoped, avoiding significant build and run costs, and we immediately rejected exposing our internal Salesforce org to customers, removing a licensing/compliance risk. An early scope misread cost one session, but after a quick conversation they pivoted and fully recovered without slipping the schedule. 

Overall stakeholder satisfaction was 9.5/10.

We had a brief early scope misinterpretation that cost a session, but after a quick conversation they pivoted immediately and fully recovered the time without slipping the timeline. Throughout, they were professional, thorough, and open to feedback, they listened, adjusted, and kept us focused on decision-grade outcomes.

Their willingness to follow the evidence and recommend a No-Go (instead of forcing a build) showed integrity and saved us meaningful time and money.

We did lose one session to an early scope misread, but they pivoted quickly and recovered, hence 4.5/5 rather than 5.

The only improvement we’d suggest is tighter scope alignment up front. An early misinterpretation cost us one session; a 30–45 minute pre-kickoff checkpoint with a one-page “scope of discovery” (goals, success criteria, explicit out-of-scope items, and sample deliverables) co-signed by both sides would likely have prevented it. To their credit, the team pivoted immediately and fully recovered the time.

Collaborated with internal resources to configure, model, test, and QA several data predictions most important to our oganization. Deliverable 1 Einstein Prediction Builder within Salesforce.

Outcome: Leveraged AI capabilities to learn from the data, and make predictions based on their previous behaviors, helping team members prioritize the work, and propose a more assertive outreach to the different NKF audiences.

Next, using the new predictions within our Salesforce instance, Equals11 helped to take us to the next level by providing our field teams with easy to act on 'Next Best Actions'. Deliverable 2 Salesforce Next Best Action configuration and implementation. 

Outcome: Leveraged the Einstein predictions formulated during stage one, along with personalized configurations and business rules, to create concrete actionable steps for the NKF Salesforce users to cultivate and improve constituents engagement.

What were the measurable outcomes from the project that demonstrate progress or success?

1. BMRA received its health baseline and the reasons for its grade. Knowledge is power and provides the ability to make changes. 
2. BMRA received sixteen specific actions to optimize the portal. BMRA is able to increase efficiency by eliminating unused roles, users, custom profiles, and page layouts. 
3. Equals 11 enabled BMRA to display a calendar in our front lobby using Salesforce. This saves valuable time/resources/money as Outlook calendar alerts were previously input manually. 
4. With validations to prevent training classes on weekend/holidays, BMRA will save time/money by not having to reschedule classes. 
5. BMRA Salesforce users will save time by not having to sift through multiple reports as Equals 11 provided us data on which reports are not being used. 
6. BMRA Salesforce users will be more efficient when inputting data with not having to sort through fields that are not relevant. This will save time, keep the data cleaner and healthier for our baseline. This will also keep BMRA Salesforce storage capacity low. 
7. BMRA learned different layouts and ways of experiencing data in the portal. LIghtningSales, Sales Console, and paths provide unique ways to view data. The outcome is an increased satisfaction using Salesforce, efficient time spent inputting data, and efficient time analyzing data.

Equals 11's project management was excellent. There were a few meetings up front to discuss the goals. Equals 11 listening carefully and respectfully. In the implementation phase, the meetings were started for the near future after the initial meetings. The meetings were always on time, the team was always extremely professional, and they met all deliverables. It was obvious how knowledgeable she is with Salesforce and followed through on all desired solutions.

What did you find most impressive or unique about this company?

The knowledge base of Vivi, the professionalism and drive to meet the customer's needs, and the ability to listen and plan. Jim and Vivi make an excellent team and made the overall experience one that we were glad we invested in.

I can't think of anything. I can't imagine a better experience. Four staff members from BMRA interacted with Vivi and two members interacting with Jim. All experiences were top notch and we highly recommend this Equals 11. It is obvious that they strive for perfection and do not settle for mediocre.

Our business has exploded in recent years, and we needed a far richer answer to our CRM challenges. We knew Salesforce was the best choice, but we did not have the internal knowledge or experience to mold the technology to our enterprise model.

SOLUTION

How did you select this vendor and what were the deciding factors?

We evaluated a number of CRM products (including Hubspot, Zendesk, and Zoho). We also discussed our challenges with other software. We landed on Equals11 because of our confidence in their approach to "demystifying" Salesforce for us, and demonstrating how it could best mold itself to our unique business model. We had been stumped for many months on how to capture, manage, and integrate our own professional services and related consultants (from a product sense) into a CRM.

Describe the project in detail and walk through the stages of the project.

Equals11 performed a series of workshops, interviews, and analyses on the present sales operation model, as well as other important processes, in the first phase to obtain a knowledge of our current technological stack. During the second phase, they used a solution-oriented approach to designing the Salesforce Sales Cloud and other sales enablement components required for a future implementation. Equals 11 then wrote feature stories for a Salesforce deployment blueprint as a consequence of the research and design. Along with a proposed Roadmap of future release capabilities to offer ongoing value to Mavendog CRM transformation.

Three resources total. An account Success Manager; Project Lead; and Functional/Solution Lead.

Equals11 provided a thorough analysis of our business, capturing the current state and future vision. By gathering a top-down understanding of our business and direction, they were able to tailor a realistic scope for configuration and development. The scope was groundwork for an immediately useful and impactful Minimal Viable Product (MVP) that allowed us to transition off of old processes with no relapse.

How effective was the workflow between your team and theirs?

Equals11 used a Kanban-based, iterative workflow to capture scope and eventually build their roadmap. It was a nice reference piece building our objects and overall MVP setup.

What did you find most impressive or unique about this company?

Equals11 helped us prioritize and roadmap for remaining scope. It was a very measured approach. It's comforting and encouraging to have a partner who can prescribe Salesforce functionality so surgically.

Are there any areas for improvement or something they could have done differently?

Equals11 is a younger company and newer brand, and they are still refining their customer training in Salesforce (which is purposely ad-hoc and as-needed based on the customer). Nevertheless, our progress was never compromised. In fact, it was encouraging (and fun!) to be a part of their ongoing improvements.
