Arobase began with a requirements phase, during which they interviewed our support team, product managers, and some active users of the Ex-Ante to get an idea of how the commonly asked questions, pain points during onboarding, and the purchase of the academy courses. Then they created a chatbot in Dialogflow and connected it to our dashboard on the site and in the platform that has the answers to general questions on portfolio monitoring, risk levels, bills, and course access. When any user of the academy is registered to a course, they have created automated workflows: a welcome message, course schedule, reminders, and finally a follow-up satisfaction survey are sent by the system. In the case of our advisors, they created a suggestion engine: once an allocation of a portfolio is out of range within a certain threshold, the system alerts it and provides suggestions with reference to past data. On webstore, they remodeled our checkout system with WooCommerce (on WordPress) on behalf of the academy, introduced discount codes and bundles, and added secure payment payment gateways (Stripe + local bank transfer). They were training our internal teams (product, support, marketing) on how to maintain the chatbot workflows, update the suggestion-engine rules, course bundling and refunds. They provided staging environment testing, API documentation to the suggestion engine, and 60 days after launch help.
RESULTS & FEEDBACK
What were the measurable outcomes from the project that demonstrate progress or success?
Shortly after launch, support tickets for routine questions (e.g. “how do I view my portfolio’s risk metrics”) dropped significantly users reported faster responses via chatbot. Course enrollment in bundled offerings increased with the new bundles feature. We saw fewer abandoned carts in the academy at checkout after streamlining the payment flow. The suggestion engine helped reduce portfolio drift in monitored clients faster than before, which clients mentioned in feedback. Our internal team now spends less time manually emailing reminders or chasing course completions. Overall user satisfaction metrics rose in our quarterly survey.

What stood out to me was how practical the build was. A lot of sites look good on the outside but are difficult to use in the back end. Ours strikes the right balance it looks professional to the public, but it’s simple enough that our staff can manage it day to day. That’s exactly what we needed.

The only thing I would have liked to see handled better was mobile testing before launch. On a few older phones, some pages didn’t display properly, but once we raised it, they fixed the issues quickly.
