I found them by researching vendors on Clutch. I reached out and met with them. First, I asked them to review my site and communicate any feasible improvements they could make. The optimized site has decreased our load times per page from 9 seconds to 1 second. It looks graphically superior and facilitates efficient customer engagement. Additionally, they recommend improvements and integrate new features quickly. The quality of their work is reliable.

How did ZaraffaSoft perform from a project management standpoint?

Their project management is fabulous. We have hour-long meetings with them, twice a week, where we discuss tasks that have or haven’t been completed. We use Google Docs and a dashboard system to maintain task lists.

Are there any areas they could improve?

At first, communication wasn’t happening as fast as necessary. However, that was rectified as soon as I approached them so I can’t recommend any improvements.

What challenge were you trying to address with ZaraffaSoft?

We were moving from a WordPress-based webpage and going from a content-focused website to an e-commerce site, and we needed to merge a lot of content from the WordPress site.

SOLUTION

What was the scope of their involvement?

We did 2-week sprints where we set goals and they did the development. In the beginning, they converted the data we had on the current site from WordPress to Magento. Then they started doing a lot of custom modules and implementing design on our webpages. They work with our internal developers, who do the styling, and installed some continuous integration so we can release every day, if desired.

They helped convert Magento 2 into the marketplace. Vendors can upload products and do custom shipping based on zip codes, and each vendor can set up different prices and shipping types for each product type. We’ve now moved from developing mode to support mode.

What is the team composition?

We interacted with the project manager and the developer directly. I told the project manager all the tasks that needed to be done, and I had direct communication with the developer in charge of each ticket via Slack regarding the assignments.

How did you come to work with ZaraffaSoft?

I worked with them before on different projects that were also Magento-based. For the first project, they were in competition with the other companies, and they did the best-performing job.

We’ve spent between $50,000–$199,000.

What is the status of this engagement?

We started working together in February of this year, and the development ended in October. ZaraffaSoft still provides maintenance work.

What evidence can you share that demonstrates the impact of the engagement?

Going from WordPress to Magento, our average page load went down 64%, which is important for our SEO. We also did an external code review, which validated that ZaraffaSoft did a good job.

How did ZaraffaSoft perform from a project management standpoint?

They did well. There’s always a big challenge working with new products and projects that have a long time span. Compared to other providers I’ve tried, it went okay. The biggest issues are always clarifying the questions or the tasks. All of our miscommunication has been on task clarification.

We communicate daily via Slack and Redmine.

What did you find most impressive about them?

I like that we could see everything in real-time. We would follow the development on a day-to-day basis for any task and budget. ZaraffaSoft isn’t just a passive bystander; they also made suggestions for improvements.

Are there any areas they could improve?

They need to better communicate to Nordic clients. In Ukraine, they’re more direct and short in their communication, which works well with a U.S. company. In Denmark and Nordic countries, you need a lot more elaboration when you write to each other. It’s just understanding the cultures they’re communicating with.

They’re really good at onboarding and starting projects fast. Set aside time to do a call (not an email), and have your idea defined.

Make sure to have the full picture of how they developed the backend of the website because after they delivered it, we have to take care of the maintenance. Sometimes they develop with different codes and our team requires their input when we need to do maintenance on the websites. This needs to be improved a little.

They developed a SaaS [software-as-a-service] platform which focuses on automating processes concerning lease agreements, real estate reporting, costs, etc. Currently, they handle almost all development for both our frontend and backend. They used PHP to build the backend on a Symfony framework. Also, for quick installation and continuous iteration, they used Ansible, HTML/CSS, JavaScript, and Vue.js for the frontend.

At present, we have 1 project leader and 1 full-time developer. We had 2 developers at one point, but eventually scaled our resources down.

We’re starting to get some clients now, whereas before, the software wasn’t finished and fully functional in the way our client wanted. I’m happy with the code they provided, their feedback, and the way they organized the project. The system looks and works better than similar products, and we have specific functionalities that others don’t.

They performed very well. Sometimes, they helped me manage the project since I have so many other responsibilities. We mostly communicate through Skype, and are able to hold video conferences if needed. They are responsive in communication.

The developer we were working with was very good with backend development, but less so with the user experience. We may hire a user experience expert from them to cooperate in the project, but we haven’t discussed that yet due to cost. We’re also hired a graphic designer outside of ZaraffaSoft.

They help with the web apps, backend services, and end users. It’s a very complicated software with a lot of APIs and dependencies, and it requires very knowledgeable developers to be working on it. Our far backend systems include analytics and crunching of big numbers. Our software is responsible for managing large amounts of data and its full lifecycle from collection to transformations to decision making.

We work with them on Ruby on Rails, Java, iOS and Android development. We’ve been working with the Play Framework. For the client-side technology, there’s Angular and jQuery. We also use their services for UI/UX development.

The best way to emphasize the quality of work is the fact I’m still working with them after so many years. That demonstrates that we’re happy with the work and the quality of it.

I personally review every bit of code that they write; the quality is very high. We have hundreds of thousands of users in our company who report things that they like more and report things that they don’t like less.

How did Zaraffasoft perform from a project management standpoint?

It’s as if they’re sitting in my office. The communication is clear. The atmosphere is good. The relationships are good. It’s easy to work with them. We communicate through email and Skype.

What did you find most impressive about them?

It means a lot to me that every employee behaves and works as if he’s part of the family. We’ve been working together so long that they’re an integral part of our company and our product.

What challenge were you trying to address with ZaraffaSoft?

Our industry changes year on year, so we have needed to provide more features like administration tools, payment automation, and so on. We had quite a few projects that needed technical direction, so we began looking for a company to provide the work.

SOLUTION

What was the scope of their involvement?

We offer five different products, and ZaraffaSoft is currently working on four of them. Their level of involvement really depends on what we need done and the project size. They’ve done anything from a full-on project to just smaller aspects like wireframes, mockups, backend, or frontend.

The largest project they’ve worked on is our data connection platform. The data for our frontend can come from various different software providers, so we had to develop a way to make that all connect to one another. We needed to get access to all the different property management systems, connect to their APIs, and automate the bookings and notifications. This ensures that there aren’t double bookings at one property and that everything is managed together.

For the frontend, ZaraffaSoft uses Angular 4, Bootstrap, and jQuery, and the backend is PHP-based with a Symfony framework. They incorporated continuous integration into the build and started conducting tests, which the platforms didn’t have before. Everything is hosted on Amazon Web Services, so ZaraffaSoft is helping with automation there, as well.

What is the team dynamic?

On a daily basis, I interact with around eight people. Monthly, it’s probably a total of 12–14. I work with two different project managers, one who handles larger scale items.

How did you come to work with ZaraffaSoft?

We found them on a freelancing site. I saw they understood the technology we use for a backend administration platform we were developing for a customer (SonataAdmin), which from my previous hiring experience, not too many companies aren’t familiar with. I found out during the interview process they had several developers who have worked extensively with Sonata. It was immediately a good fit.

Our total monthly spend is generally between of £10,000-15,000 [about $13,113+] a month. This has increased as we’ve included ZaraffaSoft on more projects.

What evidence can you share that demonstrates the impact of the engagement?

We’re doing a large scale technical rewrite, so there aren’t any outward facing numbers I can share. The quality of their work is great, and their technical competency is much higher than other agencies I’ve worked with. They build things correctly, and the code quality is extremely good.

How did ZaraffaSoft perform from a project management standpoint?

I have a good relationship with the project manager, and she updates me every morning on our progress. She isn’t technical, so we go through code reviews and then I talk to individual team members about any questions they may have. Our project manager orchestrates everything, though, and she’s fantastic at picking up on industry terminology and keeping things running smoothly.

We initially used Skype to communicate, but now we’ve moved to Slack, appear.in for screen sharing, GitHub for version control, and Redmine for tracking and project management.

Alex [CEO, ZaraffaSoft] is great at adapting and learning new things. Our industry has many specific and niche issues, and he’s great at understanding them.

We were facing an opportunity from an important customer and needed to gain delivery power as soon as possible. We started to look for external contractors and found ZaraffaSoft.

What was the scope of their involvement?

ZaraffaSoft worked on implementing a custom solution for a proprietary document management API, which our customer used for internal purposes. ZaraffaSoft's team provided most of the development, as well as some design. The project was rather constrained, so our design choices were not very wide.

ZaraffaSoft provided two developers and an Agile project manager for our work. We were able to interview the resources beforehand and worked with them directly on a daily basis.

How did you come to work with ZaraffaSoft?

We found ZaraffaSoft through a reference from one of our colleagues who had worked with them before. We interviewed another local company but chose ZaraffaSoft because of the sense of competence we got from them.

We started working with ZaraffaSoft in November 2016. The project duration was 3 months, ending in January 2017.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

The project was made a bit difficult because of our customer's constantly changing requirements. ZaraffaSoft was very responsive and attentive in keeping up with all of our changes. They delivered detailed documentation for the work, allowing the customer to decide on a direction for the software. There were a few bugs in the product, but we are pleased with the quality.

How did ZaraffaSoft perform from a project management standpoint?

The solution was delivered on time and within the budget. We used Trello, Skype, and Discourse for communication.

What did you find most impressive about ZaraffaSoft?

There's nothing in particular.

Are there any areas ZaraffaSoft could improve?

ZaraffaSoft could improve its communication skills on the developers' side and provide better design solutions, namely finding the simplest functional design, without over-engineering.

I’m the CEO and CTO of a booking service for interpretation services. When a legal agency is working with refugees or crime victims, or when a hospital has non-Swedish-speaking patients, they book translators and interpreters through us.

Our company is working on pushing clients to use our self-service platform more and more, so we needed to upgrade our IT capabilities. We could not do this by ourselves, so it was necessary to begin searching for a partner to help us. 

SOLUTION

What was the scope of their involvement?

Our IT platform was very primitive when they came on board. For example, we used to have our real-time features constantly hitting our database every second, which was diminishing our performance and processing speed.

In response, ZaraffaSoft implemented a new socket system, which is the proper handling of real-time events. I would argue that they’ve taken it to a completely new level, well beyond the original scope. They’ve made the platform so much more robust than what it was in terms of available features and reliability. They’ve structured it properly and put up a robust series of redundancies to prevent system failures. They’ve pushed our technical goals forward. 

How did you come to work with ZaraffaSoft?

I screened about a dozen potential firms, brought that number down to two and then ended up going with ZaraffaSoft. I had a really good feeling about them even before I spoke with them.

I would estimate that we’ve spent more than $10,000 on the project.

What is the status of this engagement?

We started out working with one person and at most, we had six. Right now, we have four people working on the project. It has fluctuated depending on our needs, but the point is we continue working together.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

We used to have quite frequent issues with the site going down and we don’t anymore. They have a very structured way of working. Whatever I need at the moment, they’ll cater it, whether it’s changing our provider from Amazon to another or setting up a more redundant system. They can help out with whatever it is, whether it’s on the IT side, the infrastructure side, or the coding side. When I need somebody to work on something other than what my current developer is working on, they’ll find someone with that core competence quite promptly.

How did ZaraffaSoft perform from a project management standpoint?

For project management solutions, we started out using Basecamp, but I asked them to switch to JIRA. They agreed and even paid for it. They’re not afraid to tell me off if I bypass the structure, but they’re very accommodating of our needs.

Alex, the CTO, was very involved personally in our project. Initially, it was very helpful. Businessman to businessman, however, I told him the CTO ought to be working on higher-level hiring and client acquisition work. He should be delegating individual projects to team leads. But the flip side of that was that they were very hands-on with us from the beginning. Alex is always just a Skype call away. They’ve been very good and structured about communication.

What did you find most impressive about ZaraffaSoft?

The most impressive quality that ZaraffaSoft has is their patience. Even before we hired them, they gave us about ten hours of their time to discuss the project, when other firms put up a fuss about one or two hours. That patience has extended to the project itself. It’s tough to get IT products developed and the process can require a certain amount of IT knowledge on our side. They managed to clearly explain everything, bearing with us when we didn’t understand something.

Are there any areas ZaraffaSoft could improve?

This is more of a businessman speaking than a client. Instead of focusing on day-to-day operations, they could work on getting more clients, hiring more developers, and expanding the company. I think their day-to-day operations are fantastic; I have no complaints about that. As a CEO, however, I tell them to work on expanding. They’re doing that very well now, but they weren’t originally. They were very deeply involved with every client, which is a good thing in one way but it also has a cost. As a result, he didn’t have time to bring in more developers and clients.

The company offers insurance comparisons. We look at many different insurance providers, and we collect information about insurance prices. Then, a user of our service can perform a search for their insurance using their automobile's identification number, and we will find the make of the vehicle and enough information to get offers from different companies. Then, the user can accept one of the offers, and we will send a lead through to the insurance company that they have chosen. I am a CTO.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with ZaraffaSoft?

We needed to develop a second version of our platform, and we needed to get a team that would be scalable with mixed competencies because there are backend and frontend operations. ZaraffaSoft had the personnel and skills for this, so it was a good match.

The existing solution has been developed for many years internally with a team that has grown and shrunk – as well as using hired consultants. For the new version, we will have a part of it internally, but most of the demanding technical work will be outsourced. 

SOLUTION

What was the scope of their involvement? 

They have developed several new features including a backend data processor, an enterprise message tool, and user authentication. The whole processing is intended to parse legal documents to find information in them and pass through different steps in the queue to work on this information and process it further. This information is then linked to insurance companies to help inform their offers. 

Do you know how large at peak capacity your team was that was assigned to you by ZaraffaSoft?

We have six now. There's been help from other members who have come in temporarily to do some tasks that require certain skill sets. After their tests are done, then they move on from the project.

How did you find ZaraffaSoft?

We found them through Facebook.

How many companies were under consideration when you were originally looking to hire?

There was one in Finland. They were a large company that can provide very large workforces. We were discussing with one of the recruiters at this other firm whether they could put our team together. Unfortunately, they couldn't get the mixed competencies we needed.

How much have you invested with ZaraffaSoft?

So far, I think around €7,000 [approximately $7,500], which is quite nice because, at the beginning, they gave a grace period where they would not charge, just to make sure that we could work together well. They actually allowed me to extend that, so I did. I definitely pushed the monies.

What is the status of this engagement?

It has been about 2-months, right around October or November [of 2016] is when we got started.

RESULTS & FEEDBACK

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

I would say something that stands out is their understanding of the software development process. That impressed me because you can get teams, and you can hire people who are developers, and that's it, all they know how to do is code. These situations usually lead to failure because of lack of project management. They don't have the right processes in place to help prioritize and track. They don't have the need for a project manager. Maybe they don't even recognize the product owner role.

With ZaraffaSoft, everything that we needed to prepare, they were already prepared for it, and they pushed for it. They brought in the product manager from their side. They brought in the QA from their side. They started creating meetings for things, such as defining acceptance criteria, prioritizing tasks – including new tasks coming in for change requests, and being very thorough in ensuring that everything labeled. They set up the process for JIRA because I personally don't like to work in Scrum. I find that's it too taxing for a small team with all the overhead. Instead, we implemented a kanban with a little edge of Scrum, which is actually what I prefer, and they set it all up. I'm very pleased that I don't have to worry about these things. That's what I like.

How did ZaraffaSoft perform from a project management standpoint?

We're using GitHub, and we're now moving to the Gitflow, which actually in the last couple of days is being switched over. We are pretty close. But, we are using kind of a git-method where we branch and then we bring the branch in through code reviews, so nothing comes in without somebody else seeing it. We're now going to bring that in a step more, which is effectively just bringing in a second branch like an intermediary before things get into the release branch. That's nice, and that was a push from them just to ensure that everything's organized, and it's easy to do builds and always have it stable. With JIRA, we have a JIRA tool based in the wiki through GitHub because the Confluence wiki that's attached to JIRA is mainly for the business side of our company. We're not going to put the IT inside of there. Other tools, such as Google Docs, are used for small items like sharing test cases. We use Skype for our daily meetings with the whole team.

What did you most impressive about ZaraffaSoft?

Just the thoroughness where they took charge to get the team organized. They took charge to push the project forward and get things prioritized. I was very impressed with that because, normally, you have a certain amount of stress that you have to keep things moving forward, You don't want to trust that it's going to go that way because quite often, it doesn't. However, they have been pulling things, and they've been working some long hours to get some POCs [proof of concepts]. I'd say that they're organized and definitely professional. I feel lucky that I found them.

Are there any areas ZaraffaSoft could improve?

No. I was just going to say location because if they were next door, then I could just walk over and ask them stuff instead of always hitting them on Skype. But, that's always the way it is with remote teams. We have it in our budget to fly them over every quarter to have meetings in person. Right now, I can't think of anything that they're lacking. I think that's because there's a large competence because they have looked at everything in the project. They've broken it down. They're aware of all assets that are required, and they ask for the translations.

ViaMondo is a travel and lifestyle app that allows users to save and share the places they visit with their friends. It is similar to TripAdvisor, but featuring only the reviews of people whom the user knows and trusts rather than containing reviews from random strangers. At the same time, the app allows its users to remember places they've visited. And another key function is that it allows users to save locations offline, preventing any roaming data charges. I am the founder and chief executive officer of the company.

What challenge were you trying to address with ZaraffaSoft?

The development of our app started in May 2016. We have an internal chief technology officer who created our minimum viable product working part-time, in conjunction with her corporate job.

We were looking for freelancers to help her develop a more complex product, but we had no experience in hiring people. I, for example, graduated from management, so I have no IT background. Our CTO is very young, so she also lacked experience.

As a result, we've gone through some difficult relationships with freelancers. We tried using websites like Upwork, but the nature of our work made it difficult for resources to understand each other and find a balance. I got the feeling that the lack of a manager led to problems meeting deadlines and organizing each person's job. At one point, we decided to open an office and hire people ourselves. This would give us a lot more control in building our product. The involvement of a person working directly for a company is different in itself.

What was the scope of their involvement?

We work with a project manager from ZaraffaSoft, who acts as a bridge between us and the team. In the beginning, we were only using one developer. I realized that we needed to move faster, so I requested another person. I see them as an extension of our team and plan to use them continually in the future. Our developers have understood the purpose of our app, and interacted with me, giving suggestions on the work.

We are developing our website as well (which will use the same backend and functionalities as the app) using a different team consisting of 4 people from ZaraffaSoft. The same project manager works on both projects. Around 7 people from ZaraffaSoft are involved in total.

How did you come to work with ZaraffaSoft?

A business developer from ZaraffaSoft contacted me on LinkedIn, but I was in contact with some other agencies as well, which we used for developing our app. Finding knowledgeable resources in Europe can be difficult. She presented her company, proposed a timeslot, and mentioned that ZaraffaSoft can collaborate with other developers. We were given 10 hours for free in the beginning, in order to test ZaraffaSoft. I organized a call with their CEO and liked him from the beginning. He was a good mix of being a manager and an engineer. He answered our CTO's questions well on a technical level, but also provided clear explanations to me. We decided to try ZaraffaSoft for those 10 hours. The work went so well that it made us drop the idea of opening our own development office. I found a team in ZaraffaSoft, and it would also be much cheaper for us than hiring in-house people.

The good thing is that they work using a lean approach, so we can decide how to proceed on a week-by-week basis. In the beginning, we only used one developer, but we added another one over time.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

Compared to a couple of months ago, our app is a completely different product at the moment. It's currently being used by 150 beta testers who have given us great feedback. Some heavy Foursquare users among them have actually stopped using the platform in favor of ViaMondo.

We are able to discuss results on a daily basis. We complained about some bugs at one point, and ZaraffaSoft fixed them for free. ZaraffaSoft's CEO is available to me at any time, in the morning or at evenings.

Apple refused a recent update we made to the app, so we needed to fix a couple of issues quickly. ZaraffaSoft's team didn't understand how urgent the fix was, so I phoned their CEO at 10 o'clock in the evening, who woke the team up. We were able to fix the bug by the morning. I try not to do this constantly, but I found it to be a good testament to ZaraffaSoft's commitment.

How did ZaraffaSoft perform from a project management standpoint?

We receive hourly estimations beforehand for every new feature that we decide to work on. These are accurate for 90% of the time. If it's not the case, and ZaraffaSoft happens to deliver features with bugs, they will make the fixes for free. Otherwise, if the change is due to some wrong decisions made jointly, we will discuss the new budget. We have a set time-and-materials contract with ZaraffaSoft. We use Jira, Skype, and email for our collaboration.

What did you find most impressive about ZaraffaSoft?

The personal involvement and enthusiasm are two things I've liked from ZaraffaSoft's side. They understand that if I'm panicking because we don't have time, they should make an effort to help me out. The support I've seen from ZaraffaSoft is something I appreciate. They've delivered a good product. Both my CTO and I are satisfied with the results, which is significant. She's never satisfied with anyone.

Are there any areas ZaraffaSoft could improve?

English skills could be an improvement point. ZaraffaSoft's language skills are good but not great, in the case of a couple of their people.

Not everything is perfect, but we were always able to figure things out. I came to require some services which ZaraffaSoft didn't specifically include. I was able to call their CEO and resolve the problem.

What tips or recommendations could you share that might increase the likelihood of success with ZaraffaSoft?

I would suggest building a relationship with the project manager. That person is the key to organizing tasks and the engagement of the team. Clients also shouldn't hesitate to tell ZaraffaSoft's principal about anything they don't like or any problems. He's always willing to question the work of his team and improve the situation for the client.
