A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript.
Introduce your business and what you do there.
We’re a healthcare organization within British Columbia with close to 20,000 employees that organizes and looks after health facilities such as hospitals and walk-in clinics. I’m a project manager.
What challenge were you trying to address with Workiy?
We needed a new website. Our old one was built in 2008; it was outdated and hosted in-house, so we made a drastic change and moved everything to the cloud.
What was the scope of their involvement?
Workiy identified a solid hosting solution and consulted and executed on the entire website design. The site itself is built in Drupal and hosted on AWS Pantheon. Workiy handled the design process through Zeplin, which allowed us to review wireframes. They also brought in a business analyst to do stakeholder engagement and analysis and help transition us to an operation standpoint.
One of the key functionalities is web forms within the website that allow public members and our employees to submit information about their health through web forms. Another feature is a map of all the facilities within our region: hospitals, walk-in clinics, pharmacies, and food facilities. It’s run by a Google Map’s integration.
What is the team composition?
We worked with a business analyst, a technical project manager, 6–8 software developers, QA and testing personnel and deployment managers. My main point of contact was Ravi (Director).
How did you come to work with Workiy?
We went through a procurement process through a partner agency to evaluate a number of proposals. Workiy and one another vendor were selected for interviews, but the quality of Workiy’s UI/UX and customers service helped them win.
How much have you invested with them?
We’ve spent around $200,000.
What is the status of this engagement?
We worked together from December 2020–December 2021.
What evidence can you share that demonstrates the impact of the engagement?
Their responsiveness was really good, and they absorbed additional scope. They ended up running a separate sprint parallel to what we initially had planned and then deliver both asks.
Additionally, a number of different issues came up around launch and they fixed them all in the proper timeframe.
How did Workiy perform from a project management standpoint?
They’re very transparent and use Teamwork. Throughout the project there were around seven change requests and Workiy handled them well.
We communicated over email, Zoom, and Microsoft teams.
What did you find most impressive about them?
Ravi and the whole Workiy team goes above and beyond to ensure that the customer gets what they need. When we made our scope expansion request, they absorbed about $5,000 of cost since we didn’t have the funding but truly required the feature.
Are there any areas they could improve?
Given the timing, I can’t say anything. They found the best hosting available at the time, and AWS happened to put out a better solution in the year that followed our engagement. They certainly would have recommended that solution if it had been available when we were in development.
Do you have any advice for potential customers?
Be clear in the scope. Putting more detail in scope means fewer surprises along the way. This is the case for any vendor, and not just Workiy.
With standout responsiveness, Workiy quickly implemented all requested changes. Their flexibility extended to expanding the scope and absorbing extra costs to deliver much needed features. Customers can expect a committed partner that is dedicated to delivering on all client needs.
