I usually have to check in and ask how things are going. However, they’re sometimes proactive and let me know the status of projects. They keep good documentation and always make sure there’s progress.

What did you find most impressive about them?

They have a well-honed ability to understand project scopes and know what’s being requested. I’ve worked with other programmers who didn’t provide what was asked for or who had too many questions. With Smartzweb, we can just give them the scope, and they figure out how to build what we need.

Their communication could be clearer and more professional. Some emails seemed rushed, and I’ve had to ask what they mean.

I’m the CTO of US Legal, Inc. We’re one of the foremost leaders in online legal information, products, and services. Our site contains over 85,000 state-specific legal forms that we maintain and sell to customers.

What challenge were you trying to address with Smartzweb?

We have a skilled development team but found they often get overwhelmed by the various projects we assign. As a result, certain initiatives had to be put on hold and remained stagnant for too long. We wanted to outsource an IT company to help us develop internal projects involving server administration and website design. We also needed extra resources to build out form questionnaires and create an intake process for the completion of said forms.

SOLUTION

What was the scope of their involvement?

Most of our technologies were outdated when first hired Smartzweb. All of our central systems were built on Perl and used the standard MySQL and Apache stack. They came in and upgraded our platform with the latest versions of PHP and MariaDB. From there, they assisted us in leveraging open-source platforms like WordPress to host our content. They also developed a WordPress site integrated with WooCommerce that we use to receive client information via questionnaires.

We’re an information-based company, but we rely on e-commerce to sell our legal forms and services. Therefore, we made Smartzweb responsible for providing customers with document previews in a secure and efficient manner. To do this, they converted our documents from PDFs to SVGs and set up Amazon S3 storage to support product delivery. Other assignments include revamping document presentation and designing the UX for our WordPress sites. We recently contracted Smartzweb to build our Spanish website and convert the applicable forms to the relevant language.

What is the team composition?

Blake (Lead Developer, Smartzweb) is our primary point of contact. He’s the driving force behind most of our projects. We also work with Matt (Web Developer, Smartzweb).

How did you come to work with Smartzweb?

Smartzweb started out doing a lot of development projects for local advising agencies. Their work quickly spread around the community as they cultivated a well-known brand. As a result, we were able to easily determine their skill set and compare it to similar IT companies. They had all the experience necessary, so we hired them.

How much have you invested with them?

We’ve spent over $300,000 thus far.

What is the status of this engagement?

We started working together in January 2017 and the engagement is ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

Their developments are about as reliable as the industry allows. We’ve never had a security or payment issue and they require minimal downtime. The sites are stable and function as expected. They ensure our platform receives the latest updates to its APIs.

How did Smartzweb perform from a project management standpoint?

It’s my understanding that they utilize different management styles depending on the client. We’re a large client, so we work with them on a contractual basis instead of a project-to-project approach. Blake and Matt handle the communication within their teams and do so effectively. We hold in-person meetings with them once a week and interact every day on Skype. Some of our employees work in different parts of the U.S., so they’ve accommodated our need for the occasional late-night video conference. It’s been a positive relationship so far.

What did you find most impressive about them?

They set goals and deliver on schedule. Considering their ability to work on a range of projects, they’re incredibly easy to work with. Blake is avid about sticking to development plans, so you’re pretty much guaranteed he’ll meet a deadline if the project calls for one. That level of consistency is rare in the IT industry, so I think highly of them for being able to perform this way.

Are there any areas they could improve?

We’ve been able to collaborate and resolve any issues that have come up so far. There’ve been ups and downs, but that’s unavoidable when working with a long-term partner. Our relationship continues to improve.

Do you have any advice for potential customers?

Have at least a basic understanding of what you want to achieve and how the development process works. A lot of clients enter a project without a technical background or an adequate support system and that causes challenges.

They’re extremely easy to work with and completely understand our needs. When we brainstorm options, they go over pros and cons and cost versus benefit. They don’t over-program or over-solve problems and are attuned to our company and the importance of our web programs. They’re a strong partner.

How did Smartzweb perform from a project management standpoint?

They provide good service and are much more efficient than other service providers we’ve used in the past. They’re responsive, ask questions, and give good feedback. They’re also very flexible and willing to work within the communication channels we’re comfortable with. We had a preexisting ticketing system that they use but we primarily communicate through email. Because of the nature of the work, we can convey most of what we need through screenshots or video captures.

We appreciate having one main point of contact and the communication aspects run smoothly. They’re also two hours ahead of us and are already working when I come in each morning. We like starting the day with emails and updates.

What did you find most impressive about them?

They’re very efficient and they understand the root issues and challenges we hope to resolve. They’re realistic with objectives and estimates and are always checking in. We have a good professional relationship.

Not really; the only issue we’ve encountered is an occasional typo. It’s the only thing I can think of that they could improve. They do good work and we’ve had a lot of success with them.
