Introduce your business and what you do there?
I’m the founder & CEO of King’s Caffe, a medium-sized company. We have four pubs, a brewery, and a production facility for soda drinks. We also franchise our bar services.
What challenge were you trying to address with Rubycode?
We needed a custom software system to track our processes.
What was the scope of their involvement?
Rubycode built a web application for us that tracks and scans our keg processes. Our kegs are registered in this system, and it lets us know if a keg needs to be washed or filled. It also alerts us if a step is skipped in the process.
For example, our employees have a username and password to log into the system, so if someone washes a keg and forgets to use the QR code to make a note of it, I, as an administrator, receive an alert. We can also track beer tanks, and we can assign a keg to a customer and a specific invoice number. However, the software doesn’t do invoicing.
Each keg has a serial number and is filled with a specific beer recipe. If a beer is hazy or sour, the system allows me to trace it back to the keg that it came from, who worked with that keg, the position of this person, which tank the keg was filled from, and even who was the keg washer.

How did you come to work with Rubycode?
Rubycode was recommended to me. I considered two other companies, but even though this team wasn’t the most affordable, they felt like the right choice because they understood what I needed.

We spent $40,000.
What is the status of this engagement?
We worked together from January–April 2021.
What evidence can you share that demonstrates the impact of the engagement?
The system that Rubycode created works well. I miscalculated a couple of things, but they helped change and implement them, and they added a few features on their own. They’ve continued to make themselves available to answer my questions and assist me when needed. I’m quite satisfied with their work.
How did Rubycode perform from a project management standpoint?
Rubycode was accurate with their time estimates. They completed everything on time and accommodated my time restraints.
We had weekly meetings late in the evening, and we also had video calls as needed. They were open and honest in their communication in every way.
What did you find most impressive about them?
I was most impressed by Rubycode’s ability to adapt to my schedule.
Are there any areas they could improve?
No. Everything was spot-on.

Introduce your business and what you do there.
I’m the owner of ADRIA NORMA d.o.o., an auditing and certification body.
What challenge were you trying to address with Rubycode?
Each of our six models has requirements. There’s the client’s model, auditors or employees’ model, calendar model, and the other models think about the type of audit like a certification or surveillance audit.
We needed someone to build a document management system to share the information.
What was the scope of their involvement?
We gave their team some requirements, specifying what we needed. Before starting the project, we prepared flowcharts and an Excel form. Their team developed a document management system that’s integrated into six models.
We had it only in Excel, and they developed it in this web application. The first model is about our services and what we offer. The second model is the IS Code describing what it does and competence for each code and standard.
The other model describes rules for someone to enter into this application. Other models are about events. We put the events on the calendar. After that, we have some events that go to the plan for the next year or two. We have locations about these companies because it’s important for us that we can see which companies are very close to other companies.
We use the app to manage our business. It’s only for us, and it’s not offered to clients. When we need something, we reach out to them. As of now, we have what we need.

How did you come to work with Rubycode?
We sent out four or five inquiries to different companies. After we compared offers, we chose Rubycode. They truly understood our requirements.
How much have you invested with them?
We’ve invested €20,000 (approximately $24,000 USD).

Our engagement with their team started in October 2020.
What evidence can you share that demonstrates the impact of the engagement?
Rubycode is a small but flexible company. I’m happy with the results. When we have an issue with the application, they respond quickly. Compared to the price of other companies, their prices are competitive.
How did Rubycode perform from a project management standpoint?
They finished in the timeframe planned. We communicate through email. Sometimes they come to the company, and sometimes, we have Zoom meetings.
What did you find most impressive about them?
I appreciated their flexibility. They always deliver on the date promised.

Everything was good on this project.

Rubycode is a young and good company. Communicate and be transparent with what you want.
The system created by Rubycode works well, and the client is satisfied with the result. The team helped define the system’s features, and they continuously assist the client with further support. They were also open, honest, communicative, and accommodating to the client’s timelines.
