I'm a coordinator of a prosecution office at a government agency.

We were looking to improve our debt management application.

What was the scope of their involvement?

Ross Outside the Box is doing development work for us; we decided to create a mobile and web app that could allow us to handle trials efficiently. The platform enables our lawyers to log in and visualize all cases assigned to them and any updates regarding each topic.

We started with a mapping session, establishing different work groups to work on the other required subjects. From then on, we delivered all the documentation, and they started working on the development from scratch.

Currently, they are also in charge of maintenance and hosting.

What was the team composition?

We're working with two scrum masters and four developers.

We have a department that is in charge of creating the lists and choosing services providers, so they were the ones recommending Roos Outside the Box.

We started working with them in February 2017, and the engagement is ongoing.

This is a very big project, and we haven't finished yet, but we've had partial deliverables delivered timely.

They've been excellent with project management; we've never had any inconveniences, and they've shown great availability. Regarding tools, we use Trello, Google Meet, and WhatsApp.

They know the peculiarities of our business area; not every agency can provide this kind of service with such knowledge of the judicial system.

Are there any areas they could improve?

There are always inconveniences on the road, but their capability to respond to them is great — I can't point out anything negative about their work.

The implementation of the project has been complicated, but they’re always available to solve any issues that would come up. Overall, they’re always ready to help whenever we need them.

We use Trello for project management and Zoom, Google Meets, and Slack for communication.

We’ve been impressed with the level of trust between our team and theirs. They also show a lot of empathy towards their clients.

Are there any areas they could improve?

It’s usually hard to work with software development agencies in general because they have a constant rotation of their personnel and focus on the technical side of things, which forces you to adapt to their way of working. The ROSS Outside The Box team can make improvements in that regard.

I recommend working with their team, but I don’t take any responsibility if you suddenly have an issue with them.

I'm the head of product and technology of ClimateTrade, a Company that provides a climate solutions marketplace, where you can find climate solutions like carbon credits, renewable energy certificates, contribute to nature based projects, etc...

We were upgrading our marketplace, we had to redesign it, build it in a new technology (migrating from vue to React), split the monolith into smaller pieces, and at the same time, change/add some functionalities. We wanted to be prepared for growth, offering a brand new and fresh solution, inspiring and attractive, and easy to manage and evolve.

SOLUTION

How did you select this vendor and what were the deciding factors?

We searched for consultancy companies that fulfilled our technology requirements and asked for references. Once we had a set of companies, we interviewed some, and according to the info and feel of the interview plus the cost estimation, we decided to choose Ross.

We had some meetings to capture the context of the project. Then we aligned on the way to make it incremental and started creating the backlog. At the same time, Ross aligned with our tech team to set up the development process, and environment and presented a QA plan.

With the agile process, we had recurrent alignments, planning for each sprint (2 weeks), and dedicated meetings for QA targets, functional reviews/refinements or tech alignment with other teams We are now releasing the first milestone to production and start building iteratively from our MVP.

We hired a team of 4 developers plus one QA, but we had the help of a project manager, DevOps and tech reference/architect as needed to succeed with the project. Btw without extra costs or hidden costs.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

Entering into a new project considering the limited support we could give, the outcomes, in terms of speed and functionality covered, has been very good. By setting objective QA metrics, we've been able to ease quality requirement at the beginning (when learning, setup and speed is more important) and then strengthen the requirements when the first release to production was closer.

I think they are quite adaptive in the project management style, always following agile methodology, depending on what the customer/client could provide. In our example, we could not follow very closely, so they had to manage internal dailies, backlog management, etc... and we were meeting to ensure alignment and checkout outcomes of each sprint (planning and demos). We also had some dedicated meetings for alignment as it was really important to understand what we wanted to achieve.

What did you find most impressive or unique about this company?

I think there are 2 things I liked the most:

1. Their independence to work, still achieving the outcomes we were aiming for
2. The objective way to treat QA, and the flexibility to target different levels of self requirements

Are there any areas for improvement or something they could have done differently?

There is one thing, half on their side and half on our side, to improve, and is probably to go deeper into the concept of continuous validation. I like when there is an environment where stakeholders can go and test/validate business and functional requirements as they're built (a little bit XP mode), and not do it just on the demo. But we are going in that direction.
