After a successful PoC robotization project in one of our subsidiaries, we decided to introduce RPA technology to other companies in the group.

Importantly, Pirxon very clearly proposed suppliers of various Robotic Process Automation technologies, did not suggest any suppliers, but presented the advantages and disadvantages of solutions available on the market.

Support in the selection of processes for robotization, assessment of their potential, the possibility of replicating one process in many companies, support in the implementation of robotization projects, support in recruiting employees to our own Hyperautomation Center of Excellency, support in creating a robotization strategy and building the competences of our employees who have build and maintain robots in our company in the future.
We use Microsoft Power Automate, Python, Java Script technology, and in the future Power Apps and others.

I am a PM working on internal improvement projects in Polish branch of a multinational media and digital marketing communications company.
For what projects/services did your company hire Pirxon SA - RPA developers, and what were your goals?
We hired Pirxon to automate some of our financial processes, i.e. invoice posting. Our main goal was to shift repetitive tasks to a robot so that employees can focus on value added tasks. Additionally, we wanted to eliminate overtime during peak times each month when we receive a large amount of invoices.
How did you select this vendor and what were the deciding factors?
We short-listed three vendors and invited them to solution pre-analysis. During the interview meetings Pirxon demonstrated not only process-minded approach but also practical understanding of accounting processes and was able to smoothly communicate with our finance representatives. It could clearly be seen they had lots of experience in RPA. On top of Pirxon implements solutions from various RPA suppliers, which ensures transparency in the choice of technology at different price levels.

During the initial analysis Pirxon reviewed our processes and assessed which process steps are suitable for automation and whether they can be robotized with RPA technology or automated in different ways. Once we agreed on the scope and price we moved on to pre-implementation analysis which was done during a full day face-to-face meeting with business, finance and PM of the project. This was the moment where detailed path for the robot was defined.
The next step was development. We wanted to work in agile approach so we scheduled weekly status meetings where Pirxon presented their work incrementally. This gave us an occasion to see partial result early and react in case changes were needed. Also, it gave us space for discussion on any open questions and make important decisions quickly as we had all important stakeholders present in these meetings. When the robot was ready we run a thorough tests to make sure it was working in the intended way and then implemented it to the production environment.

During the project we had a single point of contact who was a Project Manager.
Can you share any measurable outcomes of the project or general feedback about the deliverables?
The process we automated is invoice posting. Each month we have ca. 2000 invoices to process. With the help of the robot we now save 100+ hours of human work monthly and there are no peak days with accumulation of invoices to be posted. Last but not least COVID-19 impact was significantly reduced.

During the whole project Pirxon was very responsive and open to our needs. They fine-tuned the way the robot was initiated and prepared such setup that the robot can be started by several different users in a customized way. This is quite untypical but it was a requirement for us due to the way our finance team works.

The scope of our cooperation is the implementation of RPA technology throughout the organization. We have completed several projects together in various areas (human resources and payroll, finances, customer service, etc.). Each project had an independent schedule and course, but as standard, it is divided into analysis, development and final implementation. The basic tool we use in implementations is MS Power Automate, but of course the robots work based on our corporate systems, such as SAP, UNIT4 and others that support our employees on a daily basis.

Each developed robot had a delegated project manager (usually in a given department, cooperation took place with the same PM). An account manager was delegated to coordinate projects and take care about whole cooperation.

We managed to significantly relieve the employees of three departments from repetitive activities. The implemented robots have been working continuously for more than a year. We are currently preparing a series of workshops with Pirxon to increase the scale of the project.

The project management style was adjusted to our expectations. Depending on the availability of our employees, project managers adjusted the pace of work and the frequency of status meetings. Working with a large organization like ours requires compliance with many rules and policies. Pirxon showed professionalism and an excellent understanding of the way of cooperation, which enabled effective work on projects.

For what projects/services did your company hire Pirxon SA - RPA developers, and what were your goals?
We hired Pirxon SA programmers for a very difficult project, which was the integration of 15 internal IT systems and external websites such as ERP, CRM, credit systems, google websites etc. in order to quickly collect data from these IT systems and present them to financial control employees in the form of a report . We wanted Pirxon to prove that all these systems and applications can be integrated within 40 working days, with one developer, with minimal resources and PLAY staff time.
In traditional IT, such a project would take years and would involve several dozen people, would cost millions of PLN, we spent 4 people on robotization for 4 working days. We wanted to know the possibilities of the Robotic Process Automation technology, find out what technologies are the best price vs. quality, gain knowledge about robotics and technologies and confirm that the technology is good for our company
How did you select this vendor and what were the deciding factors?
It was Pirxon who told us about robotization and I showed it. After the meeting, we were looking for companies that deal with robotization, but in 2017 there were no such companies in Poland that could show case studies of robotization at their client's, only Pirxon had such references, additionally from large companies from the automotive or utilities industry.
We verified Pirxon's technical skills also in other areas of IT programming and it turned out that Pirxon had a good team of IT developers who specialized in javascript, python and other technologies. An important factor was a holistic approach to robotization of business processes and a very large knowledge of technology from various suppliers of Robotic Process Automation and other solutions that RPA robots use in their daily work, such as OCR, AI, etc.

Pirxon conducted a process feasibility study with us, then conducted a pre-implementation analysis of the AS-IS and TO BE process, proposed a non-invasive - in IT systems - re-designing the process so that the robot was implemented as quickly as possible and at the same time most effective in its work without giant changes in IT systems.
Pirxon also proposed 2 RPA vendor technologies on which we could automate the process - WInAutomation by Softomotive (now Microsoft Power Automate) and UiPath. For Proof of Concept, we chose the very low-budget WinAutomation technology, we were very pleased with the effects of its use, but we also wanted to check the UiPath technology.
Pirxon made us a robot in UiPath for the same process, because we wanted to compare the UiPath technology with WinAutomation - the exercise confirmed Pirxon's thesis that in terms of process click speed by the developer, process service quality, maintenance, robot stability and process handling speed, there was no difference between the two technologies.

On the part of Pirxon, 2 people were involved in the project, 1IT Programmers who are RPA developers and consultants and a business supervisor.
Can you share any measurable outcomes of the project or general feedback about the deliverables?
We were all intimidated by the effect of the robotization project and the resulting cost and operational achievements. We reduced the costs of integrating 15 IT systems by 96%. We reduced the integration time by about 99% We reduced the number of people participating in the project on the PLAY side by at least 50% vs. traditional IT integration.
The process of integrating 15 IT applications took us 40 working days, we involved 4 people in this project, we devoted several working days over a period of 40 days to the project. Traditional integration of all these IT systems, without the use of robots - would cost many million PLN, its duration was estimated at 2-3 years. We seal financial risks with robots, because now every tick in the system is checked by a robot, people can now focus on analyzing the data collected by the robot, not collecting it.

Pirxon was humming the entire robot at our company premises. Technical support, modifications and extensions of the robot were carried out on-line. People from Pirxon supported us well in running a new project for us. They guided us step by step, so we could focus on providing specific information needed to implement the project, and not think about what we need to do to get the job done.

They have excellent engineers, and they are creative thinkers who carry out thorough research and process analysis so you can create RPA robots better than in the original plan. Pirxon people have extensive programming knowledge, which allows them to confidently and safely meet even the greatest IT challenges.

In the first step, Pirxon provided us with an estimate of the hyperautomation of the process + small feasibility study based only on the manual of the process and a 30-minute conversation with us by Teamsy. We devoted 1 hour to the entire stage, Pirxon provided us with a quote for its hyperautomation within 5 working days. Then Pirxon carried out the pre-implementation analysis of the on-line process, we did the AS-IS and TO-BE process analysis, we determined KPIs, test scenarios etc.
The entire stage lasted several days. The next steps are the implementation of the robot in our environment, the acceptance of the robot and the hypercare phase. The entire process was carried out professionally and in accordance with the assumptions. We applied Micorosoft Power Automate and Power Apps (low-code) technology"

The main task for the robot was to prepare multilingual versions of the specification in a system dedicated to quality processes. In order to keep documentation efficiently, the Robot operates on the system in a similar way to a human being, at the same time collecting input data directly from the system and via an e-mail box. A translation module with AI elements is used to handle the process. The module was entered into the robot's algorithm using the API, which guaranteed high stability and the ability to teach the system through a handy glossary. We used MS Power Automate to handle this process.

During implementation we had contact with Project Manager (Head of RPA in Pirxon), who was responsible for whole development work. In any other cases we could contact our account manager.

Handling a single document by a human took 0.5-1 hour of time, while the Robot performs the same task in 6-9 minutes. Taking into account the available working time of the robot, the operational capacity in the process increased more than 20 times.

They engineered a robot that executes invoice accounting. The robot compares vendor invoices with the order and the warehouse receipt document. In this process, the robot also works with the Workflow system Pirxon helped us identify the processes for robotization, assessed the possibility of their robotization, conducted a pre-implementation analysis by analyzing the AS-IS, and TO-BE process and selected elements of the feasibility study.
Then the company started programming the robot and its implementation, and now it is providing maintenance services. The robot helps the employees of the accounting department, relieved 100% of people from repetitive work-related to sending invoices to customers. The results were great, the robot was successfully implemented according to the schedule, our people devoted a minimum of work to implement the robot. Within 47 working days of its launch, the robot handled 3,500 invoices, the average time of handling an invoice by the robot is 2 minutes. 50 seconds, the working time of our people on the robot project is 30 working hours

We used to meet the supplier once a week at a 30-60-minute meeting via the on-line communicator - then it was Teamwiver, thanks to which we monitored the progress of work on the robot, watched fragments of a working robot, shared our comments, planned the schedule for the next week and determined another milestone. We communicated with Pirxon also via e-mail and telephone

They exhibited commitment and knowledge at every stage of the project, be it at the consulting, programming, or maintenance stage. High availability and responsiveness of programmers. Understanding the client's needs at a very high level.

The dynamically changing market of services, the growing needs of our clients and care for the highest standards, have made the technological development, and development of employees' competences in the field of process automation, one of the strategic goals of the company. W hire Pirxon to transfer their knowlage to our employees.
How did you select this vendor and what were the deciding factors?
We were looking for the partner who will help us to introduce RPA in our company. We had some expierence with other partner but the project wasn't 100% succes, and we decided that we would like to have own Robotic Process Automation inhouse team. The plan of the RPA workshops prepared by Pirxon was very convincing for us, so after receiving positive recommendations, we decided to start cooperation.

At the beginning we had 4 day training session, and later our team could use package of mentoring hours to consult all doubts and corner cases that were meet on the robot development path.

The measurable effect of the project is increase in employee skills in the field of RPA robotization. This resulted in the practical use in the daily work of many people by creating about 20 robots working in various departments of the company and supporting employees at work, relieving them of routine activities. The implementation of approximately 20 robots supporting several processes within 2 months of the completion of the training is a real expansion of RPA technology based on Microsoft Power Automate.

The whole idea of the project guaranteed the flexibility of Pirxon in relation to the progress of our team. The team could independently determine the moment when they wanted to take advantage of the consultations within the mentoring hours, which enabled the actual consolidation of knowledge tailored to our organization.

I'm the Project Manager in a company that works in the Agri sector.
For what projects/services did your company hire Pirxon SA - RPA developers, and what were your goals?
We wanted to see how RPA can benefit the company, not having previous experience with this technology. Initially, Pirxon was hired to create the first robots as a proof of concept and has since been the preferred partner for multiple automated processes.
How did you select this vendor and what were the deciding factors?
We were seeking a vendor that would have experience with multiple platforms, as we were not set on any particular technology. Pirxon was selected due to their agile approach, where they have been willing to work with us on refining the requirements and the robots themselves when the organization was in the process of maturation in this area.

Much of the projects can't be described in detail due to confidentiality issues, however, they should be split into two phases. 1. Pirxon as our strategic partner for RPA - initially, they have been key to conducting the business analysis and building the solution. 2. At the moment we have developed some in-house capabilities, so Pirxon is used as a support and license reseller. They are also our partner with whom we decide on what direction this technology is going to go to and how can we benefit further from the market opportunities (i.e. Power Automate being introduced by Microsoft at a very low cost).

We had the pleasure of working with multiple members of Pirxon staff. The account manager is ongoingly reviewing the feedback that we have to offer and suggesting new opportunities. We had RPA developers building our first robots as well as offering initial training to users. We also have the support organization of Pirxon that is resolving any incidents (usually not caused by Pirxon but by our users or changes in the systems) in a very timely and cooperative manner.
Can you share any measurable outcomes of the project or general feedback about the deliverables?
We can not offer any particular numbers as they are confidential but the manhours saved by introducing RPA to the organization have been substantial despite the relatively small size of the company. Pirxon was invaluable to making the PoC a success story that let us progress further and even now is a key element to the user satisfaction that we are reporting on a regular basis.

They are incredibly flexible and will adjust to the client with regard to both timeline and communication. The project management style that they represent can be characterized as agile from the client-side (adjusting to the clients' ever-changing requirements in real-time) and very strict from their own side (deliveries are always on time).
What did you find most impressive or unique about this company?
Their ability to flexibly adjust to the customer. They have operated within our timeline, tools, and limitations. They often prioritize customer relationships to the strict letter of the agreement.
Are there any areas for improvement or something they could have done differently?
The only area of improvement is the presentation skills of their staff during training and other client presentations, where some developers are not delivering the best experience when showing the tools they work on. Even if the later experience with Pirxon is great, this one may be dissuaded from using their services.
Pirxon SA - RPA impressively utilized Microsoft Power Automate, Python, and JavaScript and delivered accordingly. As a result, the solution helped the company reduce repetitive activities by 30% and improve business processes. Most of all, they helpfully worked and adhered to the manifesto rules.
