Website Redesign, SEO & Marketing for Special Needs School
the project
“They know what they’re doing, and they’re phenomenal at it.”

the review
A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript.
Introduce your business and what you do there.
I’m the head of Pace Brantley School in Longwood, Florida. We’re a nonprofit school for people with learning disabilities.
What challenge were you trying to address with Oyova?
We wanted to increase our visibility on online searches and make our website more visually consistent. Moreover, the engagement had a marketing component for us to increase our enrollment rate. Ultimately, our school also worked with Oyova to kick off a capital campaign that we wanted to establish before the COVID-19 pandemic.
What was the scope of their involvement?
I initially met with Jon (President & CRO), who wanted to know more about the school. We had a Zoom meeting and talked about our website. The two of us then went over things as he gave recommendations based on their areas of expertise. Based on that conversation, Jon set up an outline review meeting where I met several of their staff. They asked questions and we went back and forth around the information I could provide.
Then, we had another meeting where we discussed more details of what we wanted to accomplish. Jon went over our agreement, and I invited some of our team members to join us to ensure that each person working on our website was able to get the necessary information.
At present, Oyova continues to be in contact with the person in charge of our website as they implement simple updates. So far, they’ve started redesigning the website and cleaning it. The team is also updating our event calendar for this project. On top of that, we’ve worked closely with Oyova resources for SEO, keyword research, and digital marketing.
What is the team composition?
Apart from Jon, we also work with Beth (Account Manager), Ryan (Director of Operations), and Eric (Programmer).
How did you come to work with Oyova?
Our technology provider’s owner recommended Oyova when I talked to them about how we needed to update our website and do some rebranding campaigns. Things were changing, and our group was evolving as we adopted a more wrap-around approach to the students and their families. I told our tech provider that we needed a company that was willing to work with a small nonprofit that didn’t have a ginormous budget. They heard our story and recommended Oyova to us. From there, I had a conversation with Jon, and our engagement with Oyova started.
How much have you invested with them?
We’ve invested over $25,000 — they’ve given us a significant amount of discount since we’re a nonprofit school.
What is the status of this engagement?
We began working together in August 2021, and the partnership is ongoing.
What evidence can you share that demonstrates the impact of the engagement?
My team’s feedback on the website has been good even though it’s not yet finished — it’s clean and visually consistent. Oyova has changed its background and headings; it’s uncluttered and super easy to navigate. Moreover, I’m not an expert at such projects, but I’ve learned so much just by going through the process with them. They’ve also been so patient with us; I can’t ask for anything more.
How did Oyova perform from a project management standpoint?
Oyova’s project management is perfect. The team responds immediately to us every time we call or email them. To communicate, we mainly used emails, phone calls, and video chats. We have open conversations with them, and they truly want to know more about our needs. That way, when they work on our website, they represent us accurately. Likewise, my meetings with their staff have been phenomenal. They ask great questions and give great feedback.
What did you find most impressive about them?
There are two impressive things about Oyova: they’re willing to embrace our mission and vision, and they help our website define those things for the people who are viewing it.
Are there any areas they could improve?
No, there aren’t any. They know what they’re doing, and they’re phenomenal at it.
Do you have any advice for potential customers?
Do it; go with them. Oyova is a company of high integrity, and they’re passionate about what they do. The team is kind, and they listen to you because they truly want to embrace your requests.

Bay National Title Company
Bay National Title Company is a national title agency that had no marketing plan and an outdated website that wasn't responsive or optimized. Our team cleaned up their branding with a fresh and attractive color scheme and chose a minimalist layout for the website. A brand experience map was created to align their marketing goals which helped get all of their employees on the same page and increased their review ratings. Leads were gathered and conversions were increased with the addition of landing pages, ebooks, pop-ups and call to actions.
A photography session was planned to show off BNTC's employees and their awesome office space and connect their users better to the brand. The re-branding also included all of their sales sheets and documents, e-mail signatures, presentation layouts and banner displays for their company events. Bay National Title was now ready to seriously compete with others in their industry with a consistent, sleek and recognizable brand.
A year after launching the website, BNTC achieved Inc 5000 status as an industry leader. Their website was seeing an increase in traffic and a lower bounce rate. To keep up with the new pace of business, they also hired 50 new employees and opened an additional 9 offices. They continue their efforts to grow and expand by continuously blogging, staying relevant on social media and holding events multiple times a month.

United Routes is a dependable vehicle transportation solution for over 100+ major OEMs, EV & autonomous micro-manufactures, marketing & PR firms, freight forwarders, nationwide corporate relocation & private collectors. Essentially, they work with freight forwarders to move vehicles from point A to point B.
The Challenge
The success of the company was not properly represented with its current website. With the goal of upgrading the look and feel of their outdated website, united Routes turned to oyova to find a solution.
The Solution
A custom bespoke WordPress theme, consisting of a Greensock animation library for various animations and interactivity and custom integration with client CRM through Gravity Forms. This was achieved by engaging with the client on multiple occasions, walking through different prototypes ensuring that everyone was on the same page for every inch of the user experience.
In addition, the new website consists of many performance upgrades, a vastly upgraded user experience, and 301 redirect setups for a clean SEO transition. The upgrades touch every part of the website including interactivity, branding, and lead capture. The end result was a highly rebranded website including logos, colors, fonts, and an overall very different online experience

Please describe your company and your position there.
I am a project manager & executive assistant to the CEO of a financial services company - private equity & alternatives investing.
For what projects/services did your company hire Oyova?
Our website was out of date, and had many functionality challenges. We wanted to fix the bugs and update the design so we could feel good about beginning marketing efforts to drive people to the website.
How did you select this vendor and what were the deciding factors?
We were introduced to them by a marketing company. After a few initial conversations, we liked the examples of their work product, and their option to pay-as-you-go pricing structure was a big driver in our decision to select Oyova.
Describe the project in detail and walk through the stages of the project.
We transferred our domains to their server. Had a few meetings to review some of the functionality changes. Also began discussing an updated wireframe that we were working on, and ultimately reviewing design iterations as we work our way to the final product.
How many resources from the vendor's team worked with you, and what were their positions?
We worked with 4 people including Director of Operations & Implementation Engineer, Director of Accounts, Marketing Strategist, and another team member (position unknown).
Can you share any outcomes from the project that demonstrate progress or success?
They are incredible at keeping the project on track with momentum. Their follow-up is quick and thorough. They are in tune with the aesthetic we want to achieve, our unique challenges, and their work product reflects that.
How effective was the workflow between your team and theirs?
Workflow has been fantastic. Their consistency, responsiveness, and friendly and clear communication truly drive progress forward.
What did you find most impressive or unique about this company?
Their ability to keep the project on track. Also, their openness to listen to what we need, interpret our challenges, and come to the table with fitting & creative ideas.
Are there any areas for improvement or something they could have done differently?
None

Please describe your company and your position there.
We run a faith-based non-profit to preserve and promote the teachings and ministry of the late Christian leader, Jamie Buckingham.
For what projects/services did your company hire Oyova, and what were your goals?
Our website was built on a shoestring when our non-profit was in its infancy. Over the years, our ministry expanded and we amassed a great deal of content. We needed a company to help us rebuild the site for better usability, easier navigation, and improved visual appeal.
How did you select this vendor and what were the deciding factors?
Oyova created a website for another non-profit that we know well, and we were introduced to some Oyova staff members at an event we were attending. Afterwards we reached out to Oyova and determined they had the knowledge and skill to help us with our project.
Describe the scope of work in detail, including the project steps, key deliverables, and technologies used.
We had numerous video conference calls arranged by our excellent project manager, Beth Rener. We described our needs; they reviewed our website in great detail and came back to us with various ideas and options to accomplish our goals. As the new site began to take form, Oyova was very responsive to our feedback, as we ironed out every detail of navigation and function.
How many people from the vendor's team worked with you, and what were their positions?
Beth Rener was the project manager who worked with us from start to finish. Over the year+ of the project, we had three people who worked on the design and development side. Eric Franklin was the most recent of these, and he was instrumental in helping us fine-tune and ultimately finalize the new site.
Can you share any measurable outcomes of the project or general feedback about the deliverables?
We have received many positive comments about the updated look and improved functionality of our new site. It is easier to "find" content. People who visit our site stay on it longer.
Describe their project management style, including communication tools and timeliness.
Beth Rener did a great job keeping us informed of progress and answering questions. We did not have a specific timeline for this project. All communication was by video conference and email.
What did you find most impressive or unique about this company?
They worked hard to understand our ministry and vision. We appreciate their patience, given our lack of web literacy. We did not know what was or was not possible to accomplish, especially given our financial limitations as a non-profit. They worked with us to keep costs down as much as possible.
Are there any areas for improvement or something they could have done differently?
We would have liked to have more telephone access to our developer. There were a few times when it seemed we could have communicated better via a brief phone call than through a series of emails.

Introduce your business and what you do there.
I’m the CIO of a TV distributor in the US, and we primarily work with healthcare facilities and hotels. We also sell patient education software to hospitals.
What challenge were you trying to address with Oyova?
We needed help in adding features to our software.
What was the scope of their involvement?
Oyova added components to our software that allow our office staff to set up new customers instead of turning that task over to our development team. We plan on adding more functionalities on top of what they’ve already delivered for us, so we’re continuing our relationship with them.
What is the team composition?
I’ve worked with Beth (Account Manager), Daniel (Lead Technology Specialist), and David (CEO).
How did you come to work with Oyova?
A business consultancy we hired introduced them to us. After our introduction, we liked what they had to offer and their staff’s personality, so we started doing business with them.
How much have you invested with them?
At this point, we’ve spent around $25,000. We expect to pay them more as we build out the product.
What is the status of this engagement?
We started working together in January 2021, and it’s ongoing.

Thanks to Ovoya, we’re saving development expenses, and our resource load has significantly decreased. Our office staff can now do tasks that our developers used to do.
How did Oyova perform from a project management standpoint?
They’ve been great at project management. They keep us up to date on what’s going on, and they communicate any questions so we can clarify the requirements back to them.
We’ve originally communicated through Slack, but we’re transitioning to Microsoft Teams. We’re doing that because Microsoft Teams is certified for medical communications.
What did you find most impressive about them?
Oyova is a perfectly-sized company where you don’t deal with too much overhead. They have very smart and capable developers on different platforms.
Often, when you deal with large software vendors, there’s a lot of overhead you have to deal with to get the product done, and you don’t always get what you’re expecting. Oyova makes the process simple — they’re very easy to work with. They’re a small, concise, and well-run company that can do what we need them to do.
Are there any areas they could improve?
I can’t think of anything. They’ve performed very well and did what we asked them to do.

Please describe your company and your position there.
I am a marketing specialist at an insurance-based medical supply company.
For what projects/services did your company hire Oyova, and what were your goals?
Our website was created some time ago, by a web team that was no longer available. We needed someone to quickly take over and provide custom code updates that were beyond our skill level. Describe the scope of work in detail, including the project steps, key deliverables, and technologies used.
We had a kickoff meeting to discuss project challenges, after which we agreed to a 10-hour trial run of Oyova's services. It took a little longer than we expected for them to start the project, but once started they quickly set up our staging site, implemented the requested changes, and made revisions according to our feedback. They were extremely responsive, and completed everything we requested.
How many people from the vendor's team worked with you, and what were their positions?
I worked directly with three people and indirectly with several more. I'm not sure what each of their positions are, but I work primarily with our account manager.
Can you share any measurable outcomes of the project or general feedback about the deliverables?
We were able to transition our forms with no visible interruption on the front end, and make several much-needed updates that improved website functionality.
Describe their project management style, including communication tools and timeliness.
We work with an account manager who always responds within hours to our requests and feedback. They provided an alternative contact if they're not available. If she doesn't know the answer immediately, she still responds to let us know she's discussing it with the team, and usually we have a solution or suggestion within 24 hours.
What did you find most impressive or unique about this company?
They are very responsive, and not difficult to communicate with.

Introduce your business and what you do there.
I’m an office manager at J. Sterling Quality Roofing, a full-service roofing contractor.
What challenge were you trying to address with Oyova?
We needed their development expertise.
What was the scope of their involvement?
Oyoba has built a custom network platform for us. My boss has closely collaborated with their team and initially relayed all our project requirements to them. We need a one-stop software solution for our network and order inventory needs, so their team has implemented the necessary features to build a platform that can accommodate those.
What is the team composition?
We’ve worked with around 4–5 resources from Oyova.
How did you come to work with Oyova?
My boss hired their team, and they started the engagement before my onboarding date.
What is the status of this engagement?
Our ongoing collaboration with Oyova commenced in September 2020.
What evidence can you share that demonstrates the impact of the engagement?
Oyova has been extraordinarily helpful in helping us meet our goals. They’ve delivered a satisfactory platform that continues to optimize our processes, but our main success metric for their work has to be their high level of accommodation.
Their team goes above and beyond to ensure that we understand each phase of the process. They’ve been a phenomenal partner — I just can’t say enough good things about their performance.
How did Oyova perform from a project management standpoint?
Oyova has exemplary project management skills. Their understanding of our needs allows them to flesh out valuable solutions that expedite the entire project, making things easier for us. They efficiently work with us every step of the way.
What did you find most impressive about them?
They’re always prepared to shed light on their expertise, so the technical aspects of the project are more manageable for our team. What truly sets them apart as a service provider is their capacity to make complicated processes digestible for us.
Are there any areas they could improve?
They’re already doing great as they are — I have no complaints.
Do you have any advice for potential customers?
Don’t hesitate to hire Oyova’s team. They’ll walk you through a productive development process that can do wonders for your business.

Introduce your business and what you do there.
I’m the president of Space Coast Therapy Dogs, a nonprofit organization. We provide our therapy dogs to nursing homes, senior centers, assisted living facilities, and libraries for kids. Overall, we share them with people who need comforting.
What challenge were you trying to address with Oyova?
We wanted to build a new, updated website for our organization. Our former website was outdated and very basic, so we wanted to spruce it up.
What was the scope of their involvement?
Oyova helped us built our new website. I wrote most of the content for it, but they added our animals’ pictures along with a text. They also taught me how to get into the website’s backend to make updates and upload new content. Additionally, they created a video tutorial to help me learn how to manipulate it and edit it further if needed.
What is the team composition?
Beth (Account Manager) was our main point of contact, and Ryan (Director of Operations) was the technical lead.
How did you come to work with Oyova?
We heard about Oyova because they had worked on a project for the Cape Canaveral Lighthouse Committee, and one of our members was also a member of that group. We contacted them and told them that we were also a nonprofit organization looking to rebuild their website.
How much have you invested with them?
They charged us $3,000, considering that we were a nonprofit organization. Normally, this project would have cost over $6,000.
What is the status of this engagement?
We contacted Oyova in the summer of 2020, and we started working together in September 2020. They hoped to get it done by December 2020, but they delivered until April 2021.
What evidence can you share that demonstrates the impact of the engagement?
Our website turned out to be very nice, and everyone in our company was very pleased with it. Thanks to the training that they provided me, I can now edit its content and upload documents, something that I hadn’t done before. Now, I’m training my secretary to do the same so that we’re two people who can make edits if necessary.
How did Oyova perform from a project management standpoint?
Oyova was very responsive and supportive, so I would give them a high rating in this regard. One time, we had a problem with a couple of our email addresses not working, but Oyova went to a different group to help us redo our email routing and solve the problem. Now, it is working great.
Beth was also excellent. She got back to me within 1–2 days after sending her an email with a request. Whenever we needed technical help, we had Zoom meetings with their technical staff, including Ryan. On occasions, he controlled my computer to show us how to manipulate the site and add what we wanted.
What did you find most impressive about them?
Ryan was very technically knowledgeable. I watched him work, and he was very nimble on the computer. He also had sharp web development capabilities.
Are there any areas they could improve?
The only downside of our engagement was that the project stretched out from December to April, but I believe it was due to the size of their organization. We were one of their smaller clients, and they were working hard on other projects.
We had a whole month where we didn’t hear from them, but I didn’t push it. When we finally started asking about the launch date, they kept postponing it. Finally, we went live in April, which is where we found the email issues.
Ours was not a complex or big website, but it took them seven months, which was long. I don’t know the other projects they were working on, but this was the only aspect that could have been improved.
Do you have any advice for potential customers?
Oyova does a great job, and they’re very responsive, so I would recommend you work with them. I’ve already recommended them to someone.
Oyova is redesigning a special needs school’s website and working on their rebranding campaign. The team has also provided SEO and keyword research services to help the group’s marketing efforts.
