We have been in the B2B market for a good few years. We wanted to reach out to B2C customers. Our goal was to open to marketplace channels, but we aimed to automate sales processes on marketplaces much as possible.

We previously worked with this firm on a different project. Kaelmo left a positive impression on us. So, when we needed someone to do integration, we went back to the tried-and-true company.

Our cooperation officially started in May 2021. The project manager interviewed us. Before development work, the team did research based on our needs. Kaelmo presented us with suggestions for a solution that they believe would be the most effective for MALTEX and MyBaby. The preparation of our environment and implementation of integration they divided into several stages:
Development of dedicated software (eDocs) as a central warehouse and supervisory system.
Integration of eDocs with Magento and other internal client's system.
Configuration of Integration HUB, Magento and sales platforms.

Thanks to the cooperation with Kaelmo (b4spot), our sales platform is integrated with various marketplaces such as Shoppe, Amazon, and Allegro. Order management takes place from one place. Inventory stocks synchronize automatically after purchases on one of the sales channels. We have improved sales, and we have saved time on managing accounts on external platforms.

I'm a Co-Founder and Chief Wine Officer at VINIFY.PL. Vinify.pl is the eCommerce platform for wine enthusiasts. We provide a diverse selection of good quality wines as well as a large dose of knowledge about wine.

We wanted to create space for wine lovers as well as people who want to try and learn about good quality wines. It was clear to us, that we needed an e-store. The platform enabling development and deep customization were the key goals for us, which is why we chose Magento.
We also expected a distinct solution, convenient for our clients and suppliers. We wanted to automate processes between wine importers, logistic operators and clients and gain sort of marketplace solution offering wines from different importers. We were also focused on aesthetic and expected to implement a unique design and the best user experience.
SOLUTION
How did you select this vendor and what were the deciding factors?
We heard about KAELMO from another company that was satisfied with the cooperation. We did not know the details of the project they were implementing, but we knew that it was some eCommerce and marketplace solution which is used by many big companies in Poland.
We were happy to hear about their agile approach and wide experience not only in development eCommerce solutions but also search engine optimised platforms. That is why we decided to contact them. After many meetings, we decided to establish cooperation.

The whole process was divided into three main stages, which consisted of several smaller steps. They began by doing fundamental tasks relating to infrastructure, domain, and the development of the test system. Then analytical work started. Analysts identified four main parts of the platform to focus separately.
Totally new layout
Wine importers module with supply processes automation
Integration with logistic operator system
Backend for inventory, accounting, finance and all other stuff.
Before starting the next development work, the UX / UI designer created a mock-up of the store in Adobe XD. After accepting the layout, the developers relied on it to create the deeply customised Magento store theme in the test environment. At the same time all other parts were produced.
After testing and our approval, the store was moved from the test to the final environment.

We had one main point of contact who was the project manager. He managed a team of a analyst and three developers. At various stages of the project, we also worked with a designer and SEO specialist.
RESULTS & FEEDBACK
Can you share any measurable outcomes of the project or general feedback about the deliverables?
The result of the cooperation is the implementation of the Magneto platform, which takes into account our unusual business plan. Thanks to the development work, the platform enables sales of wines from several importers with a logistics partner involved.
The team also provided us with individual inventory rules, e.g., sets of wine boxes, which are not separate items in the stock inventory as "sets". The system treats them as six separate bottles, which are added to the cart. That helps reduce the amount of warehouse documentation, speed up the checkout process and increase sales.
They also automated the process of ordering wines from importers if the number of bottles fell below a certain minimum level.
The whole layout was designed unique, not typical for Magento stores. The layout was consisting of more than one hundred pages for desktop and the same amount for mobile version.
This was very challenging to develop and customise all the details. One of the big parts to improve the user experience, they created a one-page checkout for VINIFY.PL store.

Because KAELMO works in an agile strategy, working with them was clear. We had weekly Sprint Planning & Meeting. They kept us informed about the progress and received our feedback on an ongoing basis. Each task was reported on their project management system based on Redmine.
We could also report issues on an ongoing basis there. They talked us through the Magento platform's functionality step by step once they finished the implementation.
What did you find most impressive or unique about this company?
For me, the most impressive thing was their steadfast will to solve even the toughest adversities. I think that no matter how challenging the KAELMO project was, the team would not give up without the expected results.
They're consistently involved in our project with all their might, which I highly appreciate. KAELMO (B4SPOT team) are eCommerce specialists who are open to developing their skills all the time. Thanks to this, the project doesn’t stray from the right track.

The cooperation ended with the expected effect - the implemented wine sales platform on Magento. We feel satisfied with this cooperation. Of course, some processes could be optimized, but during the course of the project, any inaccuracies were resolved.

During our conversations we found out that they have strong experience in the areas of eCommerce, as well as Finance and Document Management. We felt that KAELMO was knowledgeable enough and they understood our concept, therefore we chose them. We were seeking a team that would devote exceptional care and attention to our project, and we found it.

We started with development phase, followed by implementation phase and Service & Support phase. From the beginning of our cooperation, we decided to go agile. Our specific needs required flexibility in project planning at one hand and well-designed architecture and components for future development. We used online workshops for defining the strategy of implementation of our business requirements and then worked with sprints to deliver UX/UI mock-ups, alpha version of new functionalities, and finally ready parts of the product.
During the development phase, there were the three key deliverables. The first one was customizable Cafeteria, so a kind of Marketplace with benefits from hundreds of suppliers. The second was Digital HR framework to automate business processes in HR departments. The third was the Reporting framework to quickly deliver dedicated reports for HR departments and Suppliers.
As soon as we completed MVP, we started the implementation phase in which key deliverables were Integration framework, and then dedicated integrations with partners and client as well as customization. Integrations and customizations were repeated for every client. Integrations examples were with SAP, Azure AD, ISAM, SAML, Workday.
After the implementation to the first client, we started the Service & Support phase in which KAELMO is responsible for delivering working solution with high SLA and development of new modules and features. Key deliverables of new modules are, kaizen, kudos / recognition, data retention, sport events. Our solution is made of Enterprise level technology and microservices architecture. The key technologies used are Java EE, Spring, Hibernate, MariaDB, Thymeleaf, PHP and Angular.

Depending on the stage of the project, there were at least ten people in the team: IT architect, five developers, a business analyst, testers and a project manager.

The most measurable outcomes are the fact, that we are the fastest growing Cafeteria provider in Poland, and that we have great positive feedback about the rich functional possibilities of our platform. Thanks to the possibility of configuration and automation of CI / CD processes we are ready to deliver the system to a new client with thousands of employees in as quickly as couple days. The system has professional security that has been audited by specialists from external companies and our clients' IT services.

Working with KAELMO was a breeze because they used the agile approach. We were using the sprints to deliver new features during the development phase as well as implementation phase and new features during service & support phase. Every project’s step was reported up to date. They dedicated a lot of care to our project. All of the requirements that we proposed were swiftly incorporated.
After finish the work, they walked us through the system's functionality step by step. They use customised redmine based solution for project management and ticketing. The entire collaboration was successful, so I wouldn't alter a thing. Of course, there is always a place to improve. What we consider at this point is more automatization in Ci/CD processes.
