We needed help with automation for our patient registration process.
What was the scope of their involvement?
Flobotics helped us develop robotic automation to assist our patient flow. They tied in our registrations from our website and used that information along with UiPath to allow us to have the automation log all the patients we received from our registration portal into our electronic medical record system.

I worked primarily with two individuals: the co-founder of the company, who served as a project manager, and a lead developer.
How did you come to work with Flobotics?
We were looking for people who had worked with UiPath before. I had seen good reviews of Flobotics, and as soon as we had our first phone call with them, we were impressed with everything that they had to offer and knew that we were in good hands with them.

We began working with them in August 2020, and we went live in October 2020.
What evidence can you share that demonstrates the impact of the engagement?
The time it takes for the automation to fully log a patient is now a minute per submission, which shaves off around 3–5 minutes of data entry time compared to manual entry.
The automation has saved us a considerable amount of time. Everyone has said it works fantastically and that it’s freed them up a lot. Our front desk is very happy.
How did Flobotics perform from a project management standpoint?
Flobotics was fantastic. They were easy to get in contact with. When we had issues over the weekend, I was able to get a hold of our project manager to assist us, and he was able to fix them quickly. We communicated through email and video calls.
What did you find most impressive about them?
The personnel were able to let us know whether the project was feasible or not. The team was also very knowledgeable in UiPath.
We didn’t have much knowledge of automation software, but they explained everything very well to us. If we have an idea for more automation in the future, we know we’re in good hands as far as knowing if it’s possible or not.
Are there any areas they could improve?
No, everything has been wonderful.
Do you have any advice for potential customers?
Have a clear idea of what your project is so that they can let you know if something is missing. At the same, they’re very accommodating and will help you come up with ideas to fully round everything out. Flobotics was amazing.

I’m the enterprise architect for a national mortgage banker that is licensed in 48 states and has retail, wholesale, and correspondent channels. We’re experiencing record volumes; I believe we funded $1.5 billion in loans last month alone.
What challenge were you trying to address with Flobotics?
We’re trying to deliver disclosures from the system to a web portal and leverage different technology so that people don’t have to go in and do the process themselves. We’re looking to take the burden off of the workforce by creating an automated process.
What was the scope of their involvement?
We purchased the UiPath platform software and the different unattended and attended bots through Flobotics based on their recommendations. I’ve created an innovative way to make something happen that wasn’t possible before, and I was able to accomplish it through UiPath and Flobotics. We’ve tied these systems together in a way that’s never been done before.
Now, we’re working with their developers and programmers to determine what steps need to be taken in the proprietary LOS (loan origination system) and different systems.
What is the team composition?
I work with Karol (Co-Founder & Lead Architect). He serves as the developer on their side to help program the automation. From my view, Flobotics specializes in helping program automation with the UiPath software.
How did you come to work with Flobotics?
I don’t remember exactly how we came across them, but I think it was through a UiPath resellers and developers platform. We reached out, and they seemed to have good ratings and feedback from different people.
We did a couple of trial projects; Flobotics has always been great, but we needed to make sure that the UiPath platform worked well with our LOS software and some of our other technologies. What we did ultimately accomplish was fairly complex, and we weren’t sure if UiPath had the capabilities to do everything necessary to make that happen.
How much have you invested with them?
Between purchasing the software and development hours, I believe we’re at about $55,000–$60,000.
What is the status of this engagement?
We’re still working with Flobotics because we’ve taken on other projects. We initially contacted Flobotics at the end of April or early May 2020.
What evidence can you share that demonstrates the impact of the engagement?
The biggest measure of success is that we’ve created the ability for our third-party originators, or broker community, to be able to preview borrower disclosure documents on a web portal and then download those documents in one click. Our work with Flobotics helps facilitate that; the process leverages the capabilities of different systems to make it happen, as no individual system has the capability on its own. We’re very satisfied with their work.
How did Flobotics perform from a project management standpoint?
They do very well in terms of project management and communication. Right now, we mostly communicate through email.
What did you find most impressive about them?
Within very short-term working sessions, they’re able to automate the steps I communicate to them. It’s been a very dynamic experience, as the developer doesn’t have to take the time to figure out what steps need to be taken. I just give them the exact steps, and they’re able to make the different backend automations work to make this come to life.
Are there any areas they could improve?
No, not really.
Any advice for potential customers?
Have intimate knowledge of the steps you’re looking to take. Work directly with their developers to program the automation within the UiPath software.

We’re pleased with the work they did, and our goals were achieved. The bot is using API calls to process information, and that information is received when the bot finishes a task successfully.

I worked with five different people on the team, including the two founders. I worked with the primary solutions architect, another solutions architect, and two developers.

My boss found them. We were looking for an offshore team to develop these types of solutions. We had a couple of intro calls before beginning the work and reviewed each other’s partnership agreements. We chose them because they clearly knew what they were doing.
They were very competent in terms of the functional domains that they’d be supporting us on. On top of that, their English skills were great, so I had no concern putting them in front of a client. Their rates were competitive and they were ready and willing to lean in as a partner for us and our client.

We kicked off in June and wrapped up in July 2020.
What evidence can you share that demonstrates the impact of the engagement?
They delivered a holistic solution that worked exactly the way the client needed it to. We had a very aggressive timeline, and they still met their deadlines and remained on budget. It was a quality product and met they met the project scope.
How did Flobotics perform from a project management standpoint?
Qualitatively, they were responsive, we had daily standups with them, they were very professional. All around, they were solid partners.
They worked in an agile fashion, which worked very well for us. We had daily standups to review our progress, so sprint planning, and hold testing sessions. They were very communicative and managed the team well. The two primary solution architects were constantly in touch with our team and our client’s project manager.
What did you find most impressive about them?
They were willing to go above and beyond to meet our needs. They’re based in Poland and we’re in the US, but they were willing to have meetings late in the evening, outside of business hours. They were willing to shift things around when we needed to accelerate the deadline. They pulled extra resources into the project or shifted their load so they could continue to deliver.
Are there any areas they could improve?
Thinking back on the engagement, nothing really stands out to me.
Do you have any advice for potential customers?
I would encourage future clients to open the conversation up beyond just the core scope of what they might be asking Flobotics to do. They have a lot of expertise in how to properly stand up and deploy RPA solutions in a way that will be sustainable and scalable. Regardless of how limited the scope of the project may be, they can really advise on how to make the program more broadly successful.

I’m the head of IT at an experiential marketing company. We do everything from AR/VR to events.
What challenges were you trying to address with Flobotics?
Recently, it’s been difficult to create experiences while consumers are home. We were working on an online poker platform to help raise money for various COVID relief efforts. The platform operates using C Suite and Zoom.
We wanted to automate the tasks for the poker platform. At the time, we were doing everything manually. When a user signed in, we had to connect them to Zoom and move them into the correct breakout rooms to play.
What was the scope of their involvement?
They built two bots. The first bot checks the table order and creates a number table that corresponds to the poker table that the individual will play with. The second bot follows the players and moves them around as tables condense throughout the tournament.
They used UiPath.

Flobotics is excellent at what they do. The quality of their work has been fantastic; the code is clean and works great. Compared to the code I’ve had written by other developers, it’s way more stable and organized. We finished most of the project, and I reach out to them whenever I need tweaks made. They do it on the same day.
How did Flobotics perform from a project management standpoint?
Flobotics never misses any appointments. They’re always on time. The project management is very straightforward. Most of it was tracked through Upwork. We used email and shared each other’s screens. We sometimes would jump on a Zoom call.
I’d go over what I need to automate and how the documents need to flow from one place to the other. Some of the Zoom calls were recorded so they can go back to the process and review the steps. We used a remote desktop for a test environment. I gave them screen recordings that I had created along with some explanations of the process and steps in a Word document.
What did you find most impressive about them?
I really enjoyed working with them because they made it easy to communicate and work towards the goal. I always felt like they were doing their best and not holding back. I’d be happy to work with them again if I need further automation.

Flobotics delivered accordingly. This project was very straightforward, and I knew exactly what I wanted.

It’s helpful to analyze them until you refine them as much as possible. Document them carefully. Understand that a computerized, automated process will be different than even the most efficient human process. Computers don’t think like humans.

I’m the COO of DART Chart Systems. Our organization is a software company that does reimbursement technology, primarily for skilled nursing facilities.
What challenge were you trying to address with Flobotics?
We were doing a lot of human intervention work for pulling data; it was almost daily. Essentially, we wanted to get it all automated and needed to outsource for that solution.
What was the scope of their involvement?
Flobotics has done 6–7 unique projects with us, building custom solutions for our needs. We show them the process being used for pulling data, running reports, and other tasks and they use UiPath to do Robotic Process Automation (RPA). This allows for daily reports to run, which we can then access without having to do the manual pulling process.

How did you come to work with Flobotics?
I found them on Upwork. I interviewed several leading experts on RPA, and during the interview process, I felt that Flobotics grasped our business needs and had competitive rates. We decided to do one project with them to test the fit. Our team was satisfied with the results, so we’ve continued working with them.

We began working together around January 2019, and the work is ongoing. They just did some work last week.
What evidence can you share that demonstrates the impact of the engagement?
Flobotics’ comprehension is very good. We demonstrate our business needs, and they come back with clarification questions if necessary. I’ve never had to tell them they missed the mark. As a matter of fact, the results are usually more robust than I requested.
Their work has been exceptional, and we’re extremely satisfied. They’ve educated our internal IT team on where things should be placed and how to make them work more effectively with our system. Their team has put several checks and balances into place to minimize failures because if the website changes, there are failures with the robots. They’re very timely in repairing the robots when failures do occur.
An example of their impact comes from a project where we were going to have to bring a developer in to write code for pulling historical reports of clinical data. One of my staff members would’ve spent 24–36 hours manually downloading roughly 400 reports. We decided to see if it was something the Flobotics team could do. For 1/3 of the cost it would’ve been, they had the entire project turned around in 24 hours.
How did Flobotics perform from a project management standpoint?
We haven’t needed to do a lot of project management; they make it very simple. For the initial project, I wrote program requirements. However, we discovered that demonstrating the human process works best. They’re responsive and available. If a robot quits working, I text the owner and it gets prioritized because he understands the effect it has on our business.
What did you find most impressive about them?
I appreciate their understanding and the way they grasp the needs of our business. Their overall knowledge, beyond the RPI, has been great as well. They also provide a high quality of security to protect the confidentiality we require.

No, I can’t think of anything.

Don’t spend a lot of time on development, let them be the experts.
The automation that Flobotics developed streamlined internal processes, saving the business a significant amount of time. The solution has received very positive feedback, and the team was readily available and quick to resolve any issues. They were a competent and supportive partner.
