What were your goals for this project?
We wanted to make sure both our Spanish and English speaking clients were promptly attended to and had answers to their questions or consults scheduled in an easy manner.
How did you select Easybee Answering Services?
I have used other answering services previously and researched a few others. I liked that Easybee was flexible, made suggestions as to simple solutions for calendaring apps, and worked with me to really hone in on how I wanted the answering to go.
Describe the project in detail.
We do over 500 minutes of calls per month and a majority of our clients are Spanish speaking. Clients need to know they can be scheduled right away, and we needed to be able to make sure efficiency is in place because our office is very busy.
What was the team composition?
They have a system where they save notes for each client as to info for calls.
Can you share any outcomes from the project that demonstrate progress or success?
It saves me a lot of time and keeps me in the know. I like that I am informed of all calls coming through and can monitor as necessary.
How effective was the workflow between your team and theirs?
I have an account supervisor who is very responsive and I can communicate with easily. He addresses any issues or questions I have and helps in any way he can.
What did you find most impressive about this company?

Sometimes the workers fail to read the notes, but it is addressed quickly when that happens.

Introduce your business and what you do there.
My company is South Florida Construction Systems and I am the owner. We do commercial drywall construction: drywall, metal framing, and insulation.
What challenge were you trying to address with Easybee Answering Services?
I've set up the office where pretty much everything that we do, we don't have to be in an office. What this answering service does is give us a way to have someone answer and direct calls because we don't really have anybody in the office to take them. When we would get a lot of calls in the past, it would be while working on bids or during the middle of a meeting, interrupting us, so this answering service was a good way to screen calls. That was really the idea of getting an answering service - to make us more virtual, more mobile, and more able to screen calls.
What was the scope of their involvement?
It was easy. We just set up our employees that are supposed to receive calls, their extensions or their numbers to contact them through, and that was it - they handled pretty much everything. We had to create a type of script, but for us, it's pretty easy. Nothing difficult at all.
For us, the main goal was not just picking up sales calls, but also how to direct, who to direct to, and actions like that. As a result, when someone's calling for a specific department, they know who to talk to.
How did you come to work with Easybee Answering Services?
The first factor was that they're inexpensive, so it wasn't hard to try out their services. The other factor was we're based in Miami, or South Florida, and we needed people who could speak Spanish as well, for our Spanish clients' calls. This bilingual service was a sort of feature Easybee could have for us, so we did a trial run and it seemed to work pretty well.
It really becomes very, very, very helpful in saving time and not getting interruptions at those times that you don't need them.
How much have you invested with them?
It's around $200-250 a month.
What is the status of this engagement?
We’re about a year in and still using their service.
What evidence can you share that demonstrates the impact of the engagement?
It makes me and the people that work for me more efficient. That's one of the key things - the last thing you want to get are interruptions. But on the other hand, you don't want to lose calls. With an answering service, it kind of changes the dynamics of that situation. It's better than just sending someone to a voicemail.
What did you find most impressive about them?
If I wasn't going to be happy, I would have tried another company. I know that it's working really well for us right now. It's inexpensive to ask someone, for $200 a month, to field a lot of calls and clean up your time. It builds a good relationship when a client calls, too. I can't take the call, but at least they feel like they spoke to a person. A person takes the message, and you're going to get the message. That's the good thing about it.
Are there any areas they could improve?
For what I use them for, no. For my purposes, they work really well. They basically answer, take a message, or forward the calls, or screen the calls. Which, for as simple as it sounds, is actually a great service.
I think I've had to call them maybe once or twice, due to it not being a clear call or having a call drop. I'm sure I've called them at least once. It's not been a major issue or anything, that's for sure.
What tips or recommendations could you share that might increase the likelihood of success with Easybee Answering Services?
I tell my employees to make sure the calls run through the answering service because, that way, we maintain control over everything. We have everything going through one channel. It doesn't do me any good to go and pay for this service, and then clients are calling employees on their cell phone while in the middle of a meeting. You have to teach employees to push people to the main office line.

What challenge were you trying to address with Easybee Answering Services?
We needed Easybee to help us filter out spam calls from valid business calls so that we can focus on the solid calls that we do business with.
What was the scope of their involvement?
We have never worked with an answering service before. It’s like having a virtual assistant. We don’t have to worry about getting on the phone every time. When people call to leave a message, they don’t know it’s an answering service. They believe it’s a receptionist. If we are not available, they give us the message so we can call the people back that are really interested. If our company is closed and we can’t answer, Easybee sends a voicemail to our email so we can hear who is calling and can return the call.
How much have you invested with Easybee Answering Services?
I don’t have that information.
What is the status of this engagement?
We started working with them in the beginning of 2017 or end of last year.
Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?
Since Easybee, the spam began disappearing and there’s only a little now. It’s something that we were never able to handle in the past. It’s good. Everything works fine. The people call us and we basically tell them, “Not at this time. Leave a message.” It’s great.

They always give us feedback and tell us how much we are ending with the calls.

It’s doing great. Nothing to improve. Everything works fine.

Integration was very easy. We simply needed to redirect our existing call center to Easybees telephone number. This was very easy and efficient. Billing for services is completed on a monthly basis, and we are made aware when we exceed our allotted minutes.
