I’m the Chief Customer Success Officer and I work at Vodeno which is a leading provider of Banking as a Service (BaaS) solutions in Europe. We are offering instant access to the most comprehensive BaaS platform available on the market. Our solutions address the challenges of increased regulation and allow clients to exploit the digital revolution through innovation.
For what projects/services did your company hire Brainhint?
Brainhint was hired for the execution of the Vodeno Partner Excellence Centre project - VPEC in short. It is an implementation and training project which focuses on the process of implementing BaaS at Vodeno's clients, as well as developing training materials and training content for new implementation teams in the dynamically growing community of BaaS Vodeno implementation partners.
How did you select this vendor and what were the deciding factors?
We have partnered with Brainhint in a previous stage of the project. VPEC project creation was a result of great cooperation and proof of superb delivery.
The key factors were the knowledge and experience of the supplier with whom we have already worked on other assignments in the field of the BaaS Vodeno platform. The supplier's flexible approach to solving a multidimensional problem posed by the project was also of considerable importance.
Describe the project in detail and walk through the stages of the project.
The VPEC team take part in implementation projects, during which they analyse, improve and document individual processes.
One of the basic assumptions of this project is to document the processes and tasks necessary to be performed as part of the implementation of a new BaaS client. Therefore, the VPEC team deal with the independent implementation of new BaaS customers, as well as support other teams in this area.
The team are also developing standard, dummy BaaS configurations that will be used in the future to demonstrate capabilities and deploy new clients faster.
Based on the acquired knowledge, the VPEC team created a knowledge management platform for Vodeno, containing technical documentation which describes all issues, processes and tasks occurring in BaaS implementation projects.
In addition, a training platform was created containing, among others, training materials, how-to guides, cheat sheets, multimedia components and other artifacts, grouped in training paths reflecting various roles in implementation projects, along with tests to check the progress of each participant.
The training process includes going through technical documentation, training and interactive materials, as well as working with trainers, solving tests and practical tasks.
How many resources from the vendor's team worked with you, and what were their positions?
We have worked with Management Team of Brainhint both at the launch of the VPEC programme and latter coordiantion. Actual delivery of project was provided by team of experts ranging between five and ten, depending on current workload. Roles included were project manager, developers and devops.
Can you share any outcomes from the project that demonstrate progress or success?
- Ability to onboard new implementation teams within single weeks, not involving our core team.
- Comfort of owning a state-of-the-art, up-to-date knowledge management and training platform, full of creative content, ready to use by our partners.
- Optimisation and shortening of BaaS client dummy configuration process by 88%.
- Development of several useful automation tools and wizards for improved and accelerated delivery of projects to our clients.
How effective was the workflow between your team and theirs?
After the first few weeks of work and getting to know the specifics of the project, the VPEC team already grew into our organisation, venturing further and further in search of the necessary information.
Within three months, the first version of the platform was created, subjected to criticism and evaluation, to deliver a ready and refined environment after another three months.
Now, of course, the environment is still maintained and developed.
Brainhint specialists are treated as equal members of our development and implementation teams, willingly and often sharing their knowledge with everyone who needs it.
What did you find most impressive or unique about this company?
I'm impressed with the ability of the Brainhint team to adapt to the huge dynamics of business and technical conditions, characteristic for the rapidly growing ecosystem of services developed by a global fintech like Vodeno.
Understanding our needs and preferences, communicated in a relatively concise form.
And last but not least, a great willingness to learn and determination to overcome obstacles.
Are there any areas for improvement or something they could have done differently?
The only improvements we can suggest are a part of difficulties in running such a comprehensive project from an outside. This means Brainhint team had to allign with entire Vodeno organization to be able to fulfill project goals. We have managed all challanges resulting from such specifics in a very positive manner.

I’m a Project Manager and I work at Ringier Axel Springer Polska (RASP). It’s a technology company that has been in the market since 1994 and belongs to the group of the largest press publishers and media companies in Poland.
I’m responsible mainly for robotisation projects within the Business Transformation Department.
For what projects/services did your company hire Brainhint?
For what projects/services did your company hire Brainhint? Brainhint was hired as a contractor for robotisation projects for the so-called business processes and as a creator of dedicated RPA solutions.
Our cooperation started with the implementation of a single robot and soon enough, we decided to outsource to Brainhint three additional projects. And so, we have been cooperating continuously since June 2021.
What were the goals of the project (s)? The primary aim behind the projects we completed was to optimise business and support processes that were not automated. This automation was a key enabler to increasing analytical capabilities, by freeing the work of specialists from tedious manual tasks they had to perform. Robotisation of processes offers cost savings in terms of valuable time and can also increase the potential revenues of the company.
How did you select Brainhint and what were the deciding factors?
We initiated a market inquiry that was sent to the most recognisable RPA service providers. Even though the previous robot in our company had been implemented by another service provider, we decided to review the market offerings. The choice of Brainhint as a service provider was driven primarily by the proposed technology, company capabilities, delivery team, and price of services in scope.
Describe the project in detail and walk through the stages of the project.
Together with Brainhint, we completed three projects between June and July 2021, and we already have some new ones planned. The first project concerned the automation of the SEO process and aimed at improving our marketing activities. The robot was developed to collect data from systems and use them to create reports providing RASP employees with a set of information tailored to support processes and decisions in the SEO area.
The second project implemented by Brainhint resulted in Kolegia – a robot that gathers insights and creates presentations for daily editorial meetings held to review the best publications assessed by their monthly performance. Getting that data collection automated helped to optimise the process and create significant value. The third project entailed the implementation of the Video – a robot that downloads video links from Facebook and Youtube.
Together with information about them, these links are then introduced to the internal RASP system.
How many resources from the Brainhint team worked with you, and what were their positions?
Our project team was supported by the five-person Brainhint team that included a Business Analyst, Business Development Manager, two RPA Software Developers and a Python Developer.
Can you share any outcomes from the project that demonstrate progress or success?
In cooperation with Brainhint, we managed to achieve or exceed all the KPIs assumed in the respective projects. Their outcomes fulfilled the expectations to relieve the RASP process team from inefficient and time-consuming processes and to unconstrain their capacity to concentrate on the creative and developmental works.
In different teams, we were able to free up to 42 man-days per month thanks to the proposed and implemented processes.
How effective was the workflow between your team and theirs?
In terms of communication, cooperation with Brainhint was very effective and pleasant. During the weekly statuses, we could effectively update our level of knowledge about the development of the solution.
These meetings were also a platform to share feedback and conduct a joint brainstorming session to further develop the project. All our comments voiced during the feedback rounds were implemented without unnecessary delays or other difficulties. The Brainhint team tested the solutions before they got handed over to the RASP team for further testing – this greatly facilitated the work of my team and minimised the need for back-and-forth communication.
All our meetings were held in a pleasant and friendly atmosphere.
What did you find most impressive or unique about this company?
The most impressive aspect of Brainhint is, undoubtedly, the team characterised by friendly work culture, who also maintain complete professional standards.
The atmosphere of cooperation between our companies is excellent. From the technological point of view, Brainhint has introduced an innovation that allows RASP to save unnecessary expenses in terms of software licensing costs – something fairly common in other RPA projects of this scale. Another aspect that needs to be mentioned is the invaluable support of Kasia Karcz – the Analyst and the person coordinating the project.
Brainhint is an agile company that is always looking for the best solutions for their client.
Are there any areas for improvement or something they could have done differently?
Not for now.
Brainhint's state-of-the-art training and knowledge management platforms have allowed the client to onboard new implementation teams within a single week. Their team has also developed several automation tools and has optimized the BaaS client dummy configuration process by 80%.
