I’m the co-founder and CEO of Scholarlead; we operate an enrollment management software that helps public schools increase their enrollment.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with AppIt Ventures?
We wanted to build a software platform to meet our current client needs. I’m a non-technical co-founder, so I needed to find a partner to help us make a software solution. Initially, we engaged a different development partner, but they weren’t meeting our expectations, which delayed our timeline by several months. We hired AppIt to help us deliver on our promise to our clients.
SOLUTION
What was the scope of their involvement?
We started researching and designing ourselves and took initial steps to create a vision for the software. We also explored ways to develop the software and hired another development agency to build the software, which didn’t work out.
When we started working with AppIt, we had already completed our designs, user profiles, and architecture; we just needed their engineers to build it. They built the software using React.js, Node.js, and MongoDB, a non-relational database. They also performed minimal design work using our existing templates.
The main technical feature is a contact database, but they also built an enrollment pipeline and an enrollment dashboard. When we onboard a new school, one of our first steps is to import their data from Excel or Google Sheets to our tool. Once the information is in our tool, we can feed it to other features, such as the enrollment pipeline, which shows enrollment stages for each parent’s enrollment status. The tool also features a dashboard that breaks down goals and performance analytics.
Although the AppIt team has completed the project and delivered the MVP, we’ve continued engaging them on a retainer basis for minor software development tasks. They also help us with our ad-hoc maintenance needs.

We’ve primarily worked with Amanda (CEO) and Kalyankumar (Tech Architect & PM).
How did you come to work with AppIt Ventures?
We found AppIt through our local networks and online research. They made a great first impression, so we decided to work with them.

We’ve invested about $100,000 in the partnership with AppIt.
What is the status of this engagement?
We started working with AppIt in March 2022, and they delivered the MVP in September 2022. The partnership is ongoing on a retainer basis.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
We’re very pleased with the transition to AppIt because they’ve delivered high-quality work. They saved our business after working with our first development partner. Additionally, they’re expert software engineers, and I only have great things to say about the partnership. As with any software development project, we’ve faced bugs, but the team has addressed them immediately, which is all we can ask for.
Currently, 14 schools are using the software. We launched the software at a conference, and they dedicated significant resources to prepare us for the software launch. It took a lot of effort from them to deliver, but they came through, and I’m pleased to have a partner that is willing to prioritize our needs. If we’d gone to the conference without the MVP, we would have had a very different outcome.
How did AppIt Ventures perform from a project management standpoint?
AppIt is very organized, and they’ve executed a solid project management workflow. Amanda is fantastic; she cares deeply about her clients and work. I also have nothing but great things to say about Kalyankumar, who has managed the process from start to finish and effectively communicated our needs to the engineering team.
AppIt has done everything in their power to deliver good quality software in a timely manner. They do a great job of managing expectations and setting realistic milestones based on our needs. They care more about creating a high-quality product than meeting a deadline, which works for us.
The customer-focused team has gone above and beyond the initial scope and built features to improve the tool. During the development phase, we had a few instances where we realized that adding a feature or tweaking the software could make it better for our users. AppIt was willing to put in extra work and effort to deliver solid software to our schools at no additional cost.
They’re very accessible and communicative, and Amanda has always been receptive to our feedback. We’ve met with AppIt weekly and used email to communicate. We’ve also used Google Workspace and a Trello board to manage project tasks.
What did you find most impressive about them?
I’m most impressed with AppIt’s leadership and appetite for customer success. They care deeply about our success and are dedicated to meeting our needs, which is important. They’ve become a reliable, trustworthy development partner.
Are there any areas they could improve?
AppIt has missed a few deadlines due to their customer-focused nature and desire to deliver the best quality possible. However, I’d rather have a customer-focused partner than one who meets deadlines.

BridgerAerospace is the leading aerial firefighting company in the United States. We operate a fleet of aircraft providing aerial reconnaissance and wildfire suppression services. We are a rapidly growing organization in a highly technical and service-focused environment where information saves lives. I am the internal technical lead supporting in-house and contracted application development.

For what projects/services did your company hire AppIt Ventures, and what were your goals?
AppIt Ventures has been an essential partner in helping to address our needs for internal business systems and external web application development. Internal systems include flight and maintenance tracking systems which are unique to our industry. External web application development has allowed us to leverage proprietary data gathered through operations to provide commercial and public services for increased situational awareness (saving lives) and an improved understanding of wildfire impacts.
SOLUTION
How did you select this vendor and what were the deciding factors?
Vendor selection occurred before I joined BridgerAerospace but, after working with the AppIt team, it became obvious that on-shore business expertise and development governance were primary factors. Delivery of a small initial project was well recieved and AppIt had become a trusted partner to take on additional, business-critical projects.
The most important of these projects, FireTrac, required a strong understanding of web and mobile technologies. AppIt Ventures demonstrated the required business understanding and had a team of developers with the experience to take on the technical requirements to deliver cutting edge web and mobile products.
Describe the scope of work in detail, including the project steps, key deliverables, and technologies used.
For the FireTrac project, the scope of work was to provide a web/mobile application that allowed users to register, view/access information, and upload data. AppIt Ventures followed software development best practices and assigned a Project Manager who initiated a kick-off meeting to create various artifacts (charter, RACI chart, business requirement documentation, project plan, etc.)
Once project resources were identified, application requirements were then captured via several meetings with stakeholders. This was then followed by a formal requirements document along with storyboards and wireframes. Upon approval of initial requirements, the AppIt team defined development sprints along with associated deliverables. Reviews were conducted for each sprint and the project quickly moved forward.
AppIt provided a team of development resources, each with a known purpose and skill set (experience with Node.js, Angular, Flutter, SQL, and AWS). Architectural designs were submitted, approved, and implemented. Throughout, the Project Manager provided the communication necessary to keep the project on track.
Upon successful completion of user acceptance testing, AppIt Ventures compiled developer documentation for transfer to BridgerAerospace's internal development staff. On-going maintenance/development is provided by BridgerAerospace but the AppIt team remains a vital resource for support or major application enhancements.
How many people from the vendor's team worked with you, and what were their positions?
Several people from AppIt Ventures worked on this project. This included the business manager, project manager, designers, AWS architects (infrastructure), and a broad team of off-shore developers including a dedicated project lead and several skilled full-stack developers.
RESULTS & FEEDBACK
Can you share any measurable outcomes of the project or general feedback about the deliverables?
The quality of the deliverables (specifically the code and the environment in which to execute it) was very good. After accepting the product deliverables, we soon realized that business requirements were insufficient for a marketable product. AppIt Ventures worked with us to quickly modify the application in a way that would address many of the business requirement's shortcomings.
This allowed our internal development team to then work on extending the application in a few key areas (push notifications, enhanced mapping, etc.). The quality of AppIt's code allowed us to efficiently introduce enhancements that align with business expectations.
Describe their project management style, including communication tools and timeliness.
AppIt Ventures' Project Manager was highly responsive and provided thoughtful insight into many design and operational issues. He did this by bringing AppIt team members into discussions as needed. If design changes were needed, the designers would join Zoom calls and then present storyboards to illustrate their ideas.
If we had technical issues, he would even coordinate after-hour discussions with the off-shore staff. He ensured that any concerns were addressed thoroughly before committing to implementation timelines. We always knew where we stood.
What did you find most impressive or unique about this company?
AppIt Ventures is disciplined. Not just in their approach to project management, but throughout the development process. This is exhibited in the architecture and implementation of both code and infrastructure. AppIt has defined "best practices" and uses them to deliver quality. AppIt Ventures is truly a one-stop-shop where attention to quality results in easy-to-use and maintained deliverables.

They’ve been able to execute our vision in a way we couldn’t do ourselves. Moreover, we haven’t had any issues with their work; they solve bugs quickly and adapt to last-minute change requests from our side, their involvement with the design process is great, and their team is good at listening to our needs.

They’ve been great in meeting deadlines and managing the overall project to make it move forward and keep it on track. Additionally, we can reach out to them whenever we have an issue, and they’ll solve it immediately. In terms of tools and communication, we use online storyboards and weekly meetings.

As we grow more and more the amount of data flowing in and out is rapidly growing. The need for the operations dashboard was the centralize all of the must-know information into one centralized location so anyone through-out the company can access this data in a quick and meaningful manner. We did not have an in-house developer to tackle this task. For that reason we reached out to AppIt to help build and develop the dashboard.

How did you select this vendor and what were the deciding factors?
We have worked with AppIt Ventures before as a company. We knew a few of the team members from the past project and know how the company operates. From the cooperation and knowledge from past projects we decided to work with AppIt again.
Describe the scope of work in detail, including the project steps, key deliverables, and technologies used.
We started by having an initial meeting about what we were looking for, an operations dashboard. After providing some of the data and a draft mock-up for some general ideas, AppIt created a Figma document to start the process of designing and laying out the dashboard. After a few iterations we agreed on the design. One major step for the dashboard was the integration of a third-party API. This third-party application plays a key role in our daily operation. Having this data pulled and displayed is a great feature and helps consolidate the areas in which our data is reported. AppIt was great on working with us and helping communicate/troubleshoot any problems we had with the integration. When this was complete we just had a few minor design changes we had wanted. After agreeing on all aspects of the design and functionality we launched the dashboard internally.

A project manager was our main point of contact. Also, there were two developers working in the background. We did have some communication between us and the developers when working on the API integration or things more on the technical side.
RESULTS & FEEDBACK
Can you share any measurable outcomes of the project or general feedback about the deliverables?
Throughout the company there was positive feedback that all of our daily important information is now housed in one place. This allows for anyone to quickly look at the dashboard the get the info/data they need.

When first starting the project we had almost weekly calls to discuss ideas, designs, or anything we wanted to change. As the initial design was set, the communication moved to emails. AppIt was always willing to setup phone calls to discuss anything, but the emails seemed to be sufficient. The only part I have comment on, was the timeline for this project. We went over the initial timeline but this was due to the API from the third-party not being fully setup at the time. They were incredibly responsive throughout.
What did you find most impressive or unique about this company?
I found the ability to work alongside a third-party company and integrate the API within the dashboard was great. Although using an API is not a challenging feat, their agility to help us through the process when we had a lack of knowledge was impressive.
Are there any areas for improvement or something they could have done differently?
The only comment I have for this section, would be the working times. What I mean by this is the company's developers are overseas, not a problem other than the time difference. The only time the developers would be available is during the early morning, since this was later afternoon for them. This meant if anything came up by noon or later it wouldn't be addressed/seen by the developers until the middle of the night our time. Not a problem just more of an inconvenience.

For what projects/services did your company hire AppIt Ventures, and what were your goals?
We hired AppIt to bring BoxMetrix, an elegant GPS-based asset tracking application, to life. We required Technical Consulting, Blueprinting, UI/UX, Design, Dev, Database, and various API Integrations. The application needed to be downloadable for mobile as well as accessible via the web.
Our goal was to visualize and contextualize data streams from our intelligent asset tracking sensor devices. The visualization needed to be google maps based and the app needed to allow users to perform device configuration, set rules, view events, alerts, notifications, manage teams and clients, and visualize sensor data via a mix of charts, graphs and widgets. It needed to be integrated seamlessly in AWS and be as accurate and reliable as it is beautiful.
At the end of the day, we needed this application to serve as a complete asset location and health management platform for industrial businesses with high-value offsite equipment. The app needed to help our customers increase operational efficiency, streamline workflows, manage high-value assets, and consolidate disparate systems.
SOLUTION
How did you select this vendor and what were the deciding factors?
I painstakingly researched, interviewed, and built out a comparative matrix on 53 software/app dev companies around the globe. After several demos, interviews, questionnaires, in-person meetings, and making the finalists battle for the contract, AppIt was able to prove they were highly process-oriented, had an impeccable understanding of the user experience I required, and could complete the application within my required delivery timeline.
Describe the scope of work in detail, including the project steps, key deliverables, and technologies used.
We started out with several meetings about scope. We talked through lots of granular details about design, inspiration, functionality, UI/UX, and overall expectations. From there, a Project Sprint Plan was developed. We started the sprints with design/wireframing, UI, and UX. AppIt nailed my proposed vision on the first shot and perfected it after the first revision. After design commenced, the dev team started coding and connected the required ancillary backend programs, (AWS, firebase, google, etc) to stand the app up. At this point, sensor APIs were connected and database items were addressed. We moved on to designing rules engines, device configurations, and other logic-heavy items. It should be known that AppIt has testing teams that test, troubleshoot, and debug constantly and they ask that the client test weekly as well. Once everything works as required, the app is pushed out of the dev environment and into production. Our application was pushed into production as a progressive web app for Super Users/Admins and to the android and google play store for mobile users, which comprise of team members and other non-admin staffers. After the app was pushed to production, the standard warranty period started. No issues have come up. After AppIt completed the project, they provided very well-written documentation showcasing how the app was built, providing all credentials and information required to sustain the app, and a future roadmap with instructions on how to properly grow the application over time without wasting time/money.
How many people from the vendor's team worked with you, and what were their positions?
Overall, I worked with 8-10 people directly. My main point of contact was a Project Manager. I would meet with the PM and the leads of the departments that were currently in play. For instance, in the UI/UX stage, I would consistently meet with the PM and the lead UI/UX person, and so on down the road to completion.

Can you share any measurable outcomes of the project or general feedback about the deliverables?
We went from a “Good Idea” to a feature-rich, ready-to-roll application in 12 short months. AppIt allowed us to become an industry leader in one of the fastest-growing segments, and we couldn't be more proud of the product they delivered. Success stories to come!

Project management was led by Lucas and accompanied by various segment leads. Lucas did a great job of keeping the schedule tight, describing updates, timelines, and bugs that were found and being fixed, while the technical team did a great job of describing all things that naturally go over the heads of non-developers. Special shout-out to Meghanath, Bharath, Emma, Lauren, Ryan, and the rest of the team for continuously exceeding my expectations and teaching me a million things along the way, and Amanda for creating a stellar culture that shines through in the attitude and work product of the team. The google suite was used for meetings, document directories, scheduling, and everything in between.
What did you find most impressive or unique about this company?
The culture! I seriously cannot credit this team enough for the ability to execute a vision and do it with pure joy. It really goes to show that a business, when led by a team-oriented visionary like Amanda, can achieve anything they put their minds to. Our expectations were extremely high and were exceeded every single week of this amazing journey. We cannot wait to start the upgrade phase!

I’m the owner of a business called Hop Passport. We are a brewery marketing company that partners with breweries across the country in 28 states and put them into what we call a “passport”, which is essentially a coupon book. Our business does this to drive more new or existing customers into the locations.

What challenge were you trying to address with AppIt Ventures?
We needed mobile app development services.
SOLUTION
What was the scope of their involvement?
We went to AppIt Venture’s offices before COVID-19 to lay down the groundwork and show them what we currently had for the first phase of operations. Their team designed how the app would like before they built it out. Our goal with this project was to replicate what we had with our main product which was a physical paper passport.
The cross-platform app allows customers to create a unique username and password to log in. Once they enter, they can see a map that shows where nearby partnered breweries are located and go there to get beer specials and digital stamps on their passports. The app tracks all the locations the client’s been to.
The team also developed different Snapchat-like filters for people to take pictures with them.
What is the team composition?
I have a main contact which is a salesperson that relays the information to the development team. I believe we’ve worked with ten developers, one of them being the head of the team.
How did you come to work with AppIt Ventures?
I found AppIt Ventures on Google, and I reached out to them. We looked at different development companies in the Denver area and met with them.

Our engagement started in May 2019, and it’s ongoing.

We’ve had 800 downloads in just one month, and around 2,200 digital stamps have been redeemed — it’s been a high success.
How did AppIt Ventures perform from a project management standpoint?
AppIt Ventures’ team is very communicative, and if we have any questions or concerns, they’re pretty prompt and get back to us, even on weekends. For instance, we had a problem with an Android update that caused our app not to load on a certain Samsung smartphone model. I texted my contact, and they swiftly solved the problem.
We have a weekly Zoom meeting to talk about how the enhancements are going. Communication is one of their biggest positives.
What did you find most impressive about them?
I’m very impressed with the work itself; they have very good designers that come up with creative functionalities to implement on the app. They’ve delivered each time and have always been there to fix problems quickly. Sometimes bugs appear, but that’s pretty normal when dealing with technology and app development.

There’s nothing that comes to mind.

We were working with another service provider to create the initial designs for our app, but there were a few flaws that we couldn’t really get over. We decided to bring on AppIt Ventures during that early conception phase to redo the designs.

What was the scope of their involvement?
When AppIt Ventures joined the project, they redesigned the app and helped us develop and manage it. We pretty much knew what the app’s functionalities needed to be, so they executed on it. The final app is for Android and iOS.
What is the team composition?
I worked directly with four people out of AppIt Ventures’ office. Then, there was an additional team that handled the development portion. Basically, I would communicate directly with AppIt Ventures, and they would manage the technical side of things with the development team.
How did you come to work with AppIt Ventures?
I decided that they were the right fit after my conversation with Amanda (Owner). As a business consultant, she really takes in projects as if they were her own. She looked at my company holistically, discussed the project beyond the development piece, and connected me with several other resources in the industry who could enhance my app with additional revenue channels.
How much have you invested with them?
The total cost was about $100,000.
What is the status of this engagement?
They worked with us from April–November 2020.

What evidence can you share that demonstrates the impact of the engagement?
We’ve gotten really good feedback through beta testing. The app is functional and easy to follow, and the design is pleasing, too. There have been a few things that we’ve needed to tweak, but no major issues.
How did AppIt Ventures perform from a project management standpoint?
They performed great. Because they're a young team, they were more flexible in terms of the way they approached projects. That, combined with Amanda’s overall business views, made for a good process. We mostly communicated by email unless I had a call with Amanda.
What did you find most impressive about them?
AppIt Ventures has a willingness to help new entrepreneurs. They aren't just a development company. Rather, they're a full-service business consultancy that guided companies through potential pitfalls. Some of their suggestions really helped us avoid big issues that could’ve been pretty costly otherwise.
Do you have any advice for potential customers?
As with any development project, when a team hands off the app management to you, it’s important to learn about your app so that you’re knowledgeable enough to handle it yourself. It took us six one-hour meetings to get trained, but, now, we don’t have to lean on them as much for every little thing in the future.
I’d also add that you should have a good idea of what you want for your app before going into the project. That makes it so much easier to hand over the requirements and desired functionalities to someone and let them run with it.
