POS Guest Selection (Odoo Module)
The POS Guest Module customized by Aktiv Software limits the addition of guests for specific table.
The default Point of Sale module of Odoo doesn’t provide any limitation for table capacity and hence user can add as many as guests for particular table. Due to this one table can be crowded with many guests if the POS user is not aware about the availability of seats per table. Aktiv found a solution to this and customized this module by putting some restrictions on it. Here are some of its primary features:
- If the limit of tables is set to a specific number and after that user tries to add guests more than the predefined limit then a warning message will be highlighted on the screen which will restrict user from adding more guests.
- Again, if user tries to place another order for the same table but the first order is already allocated with specified guests then a warning message will pop up on the screen and user will not be able to place another order from the same table.
In either of the situations user can’t add guests more than the table capacity.

Migration from Navision to Business Central
Having used Microsoft Dynamics Navision 2018 version for several years, Actendo was happy that the software solution was stable and reliable and met most of its needs, including the integration support. But as the business grew, Actendo required all critical business systems within a single roof and the latest solution for good business practice.

We had to change an existing Magento 2 template to fit a new product category. The goal was, to provide a special list and detail view for products of type "components"

Our last development partner wasn't able to complete the template changes. The changes were calculated for 1 week. The changes should get online 4 weeks after the old partner starts the work. After 2 weeks the old partner quits the work and told us this isn't possible. So we needed a new partner which can do the job within 2 weeks including testing.

Akiv Software analyzed the given XD-File (Adobe XD), and after a short skype call to clarify open questions they do the job within 6 workdays. So we have enought time to test the changes and were able to go online on time. We are very happy with the work of Aktive Software and look forward to a long cooperation.

The project manager reports every day about the project status. There was a small adjustment by our customer while developing. Aktiv Software adds this adjustment without any problems. The main communicaion was by skype, because this was only a short project of a cupple of days.

They analyzed the created perfect designs with no issues. Calculate the required time and costs and do the job in time. With our old partner we have a lot of bugs after he says "i'm finished".

Aktiv Software proposed us to shift to Odoo Enterprise v12. They explained us about the multi-company features of Odoo enterprise. They also performed various customization, which was specific and could fit all of their businesses. The idea was to develop generic customizations which could render a smooth workflow without wrecking the requirements of different business. Below mentioned were some of the significant customizations were performed alongside implementing Odoo: • Disabled the common product and contact book feature to make generic customizations that could be applicable for their multiple companies. • To eradicate the menace of availing accounting details from Maximo software, a plugin which could fetch vendor details, entries, and invoices to Odoo system. • Various payroll customizations. • Base Odoo structure didn't provide a purchase request feature; so, a module was developed through which the purchasing department could quickly generate purchase requests and could also send RFQs based on it. • Custom reports with attributes suitable for the customers of different companies by modifying the base functionalities of Odoo.

Prior to the Helpdesk system, we dealt with all of our customers via emails and phone calls. Both client and ourselves were always wondering why certain tasks always fell behind schedule. We knew we were always very busy but couldn’t demonstrate why without a lot of effort which then would take away from the work needing to get done. We saw the immediate impact of having the Helpdesk system implemented and modified to our needs. We now live in the system and nothing is done without a ticket being created and all communications are through the system.
Our customers are now in more control of what needs to get done at a given moment. Especially when priorities shift constantly.

Project management was accomplished via reports, emails and messaging meetings several times a week. We saw progress on the project through demos and were able to collaborate in adjustments required.

I’m the founder of R for Rabbit Baby Products. We’re an Indian baby-care brand that started in late 2014.
What challenge were you trying to address with Aktiv Software Pvt. Ltd.?
The main challenge was inventory management. We sell both online and offline, via distributors and retail channels like Amazon, Flipkart, and Snapdeal. We also have brand customers, and we wanted to manage our inventory separately for all those business segments as well as have virtual warehouses.
What was the scope of their involvement?
We have virtual warehouses for Amazon. In India, there is the Amazon Vendor Flex model, which doesn’t exist anywhere else in the world. It’s a virtual warehouse that we give to Amazon in our warehouse, and the inventories are managed separately through the Amazon system, like in their warehouses.
Aktiv Software helped us create multiple virtual warehouses with inventory management in Odoo. They helped us customize and implement the platform per our needs. They came up with multiple ideas. They’re very good with Odoo, and they made suggestions for creating different warehouses for us.

There are two frontend people involved. I don’t know how many there are for the backend.

I knew the founder of the company through a friend. I had a meeting with them, and they were clear with the fundamentals. We presented our challenge to them, and they came up with a solution. They knew what they were talking about. Anytime a company doesn’t know something, they just say yes to everything.

We started working with Aktiv Software in April or May 2019. The collaboration is still active, on and off. We contact them when we want new customizations or support.
What evidence can you share that demonstrates the impact of the engagement?
We were implementing the Amazon Vendor Flex model in our warehouse, and we had a lot of challenges. We weren’t able to manage the inventory, and we needed to have a system up and running within 20–25 days. Aktiv Software helped with Odoo customizations and delivered the solution within our deadline.
I’m happy with what they’ve done. There are some technical limitations with the platform, but I can’t blame them for that. The system itself has issues in terms of the data being taken out of it.

I’d rate them 8.5/10 in this respect.

Aktiv Software proposed the plan of developing, delivering & Implementing Accounting and CRM Modules for our company. They suggested Odoo (formally known as Open ERP).
Odoo is an open-source ERP that can easily automate all business processes. Being an open-source platform, it is cost-effective and, at the same time, scalable too.
So, the certified team at Aktiv Software successfully designed and delivered the following modules of Odoo:
- Accounting: For every transaction, the purchase and sales account would be associated, and accordingly, the transaction voucher would be generated.
- Fleet Management: Real-Time Fleet Tracking, Vehicle Management, Service/Vehicle Reminders, and Reports & Analytics were facilitated under the development scope.
- Sales: Under the Sales module, Admin can create and manage the client master database. Under these, information fields can be like name, address, city, state, contact details, bank account details, standard payment method (cash or credit), etc.
- Purchase: We mainly had two significant kinds of suppliers, and so they provided a different solution for each of them, as mentioned below. o Sugar traders: Admin/users can create and manage information for all suppliers. Information fields for Sugar traders would be like name, address, city, state, contact details, bank account details, type of trader (mill or trader), bank account details, standard payment method (cash or credit), etc. o Transport companies: Information fields for transport companies would be like name, address, city, state, truck number, truck capacity, driver's name and contact details, bank account details, standard payment method (cash or credit), etc.
- Reports: Based on the logs generated for each transaction or event, they helped us in generating a different kind of stories: o Purchase reports based on supplier, logistics, other overheads. o Accounting Reports o Sales/Customer reports o Profitability: based on client, truck, time, etc.

The project team had about five people and would work according to their skills in a particular module. We were assigned a Project manager who guided us throughout the project and was our permanent point of contact.

While it's only a few months after deployment and the custom modules and solution are already helping us with a reduction in errors by more than 60%. Our team is now engaged in value monetizing strategies rather than focusing on manual operations.

Compared to other partners we have worked with previously, the project management at Aktiv Software was very smooth as the team always complied with the deadline. We also had a smooth communication process where we used Skype, Zoom, and GitHub for any kind of give and take of information.

Aktiv Software offers us developers to work with us in different projects. We create the requirements, and the developer does the programming so that we can test it.

Developer is doing great variaty of tasks, which is allowing us to reduce development times. We are very satisfied with results, so we will be hiring more hours of programming.

We use or own ERP (Odoo) for task communication and time registry, and we have regular daily communication through Skype. For us it was important to have this regular communication and we are very satisfied with it.

How fast they can assign new developer, and also the fact that their developers are already experienced and with good skills.
Are there any areas for improvement or something they could have done differently?
As for now we are satisified, maybe we need to improve from both sides the testing phase to be more effective, but this is also from our side to prepare better tests.

There were various projects that Aktive assisted us on, From new complete bespoke modules to small enhancements to the core system.

To reduce pressure on our internal resources and enable greater focus on the individual projects.

They had contacted us directly a couple of years ago and I had meet personally with them on a number of occasions. They came across as a very professional operation.

We appointed a dedicated developer to work on some of our projects. During the course of the contract the developers were are our disposal and worked on a number of tasks for us. There tasks included developing some completely bespoke modules which needed to integrate with each other and also with existing standard modules. The requirements documents were discussed regularly with there team to meet the end users requirements.
What was the team composition?
They provided a single senior dedicated developer. They were involved in all the steps from concept to delivery of the completed work.
Can you share any information that demonstrates the impact that this project has had on your business?
Having the extra resources to handle the development enabled us to focus on other aspects of the project and the business.

We were in daily contact directly with the developer via Email & Zoom Deadlines were agreed and reviewed as required. The communication was generally very good.
