What was the business challenge your company was facing that incited the need for this platform?

We were looking for a tool that would reduce administrative tasks for our field reps and ensure that they're focused and prioritized on the right things.

SOLUTION

How does your company implement this platform?

We use Mediafly to facilitate and manage our field representative's work. We can see what documents are being used, and who is using them. This allows us to distribute our sales materials and ensure that our field representatives are focusing on and prioritizing the right content. We can drag and drop updated documents, and our reps have the updated versions instantly. It saves us time and effort.

Was your company considering other platforms?

We did a vetting process. We sent out an RFP [request for proposal] to the industry, and we also we also looked at an internal build. After evaluating our options, we decided that Mediafly was the best choice for us.

Did you have a trial period of the platform?

They gave us access to their sandbox. We got the chance to test it out a bit, but we didn't do a pilot of the platform.

FEEDBACK & RESULTS

Can you share any results of your implementation of Mediafly?

Our company's adoption of Mediafly was incredibly fast, both in terms of the number of people who use it and the frequency of use. Our implementation of Mediafly has saved us about 100,000 hours in admin time in the past year. We are very pleased with the platform.

FEATURES

Were there any software features that really impressed you?  

 Mediafly provides the ability to get the right content to the right people at the right time. The big benefit for us is that our reps always have the information they need to support a successful selling call at their fingertips. We drag and drop content into the platform, and they can see it right away.

Are there any areas of the software upon which you feel could be added or improved?

The biggest missing feature for us is the ability for reps to annotate on documents and save them off without future annotations wiping them clean. Otherwise, the platform is very complex.

Have you used Mediafly's support resources?

Mediafly's tutorials were very useful. The app itself is so intuitive that we really didn't need to rely on the tutorial. Mediafly's customer service is excellent. If we have an issue, they get back to us that same day. They're definitely in touch, and they hold themselves accountable for helping us fix issues or get resolutions. They've been great.

We had previously been compartmenting and organizing our content in house. We had another piece of software that we were pleased with, but it didn't do everything we wanted. We did some basic online research and found Mediafly. We've been very pleased with everything they've produced for us.

Can you share any results from your implementation of Mediafly?

I don't have any numbers to share, but Mediafly is an essential part of our sales campaigns. The team that uses it is really enamored by it, and relies on the platform for their success. They feel like they couldn't function without it.

FEATURES

Were there any features that really impressed you?

There are a number of things that really impressed me. One thing that is very critical for us is making sure that our sales teams know when content has been updated within the system. Mediafly's system is designed to let them know that content has been updated.

Another great thing about Mediafly is that it allows our sales teams to create a collection of PDFs and videos and send all of that off in a single email. That has been a nice feature for us to use.

Can you speak to the ease of content creation?

It's a very easy drag-and-drop model. We just upload our content to Mediafly and keep it there. We are holding a tremendous amount of information there now, so they've been helping us reorganize things. It's a good tool to categorize and hold all of our assets. 

It's also used outside of our sales force by our product managers, the marketing team, and our support staff. Mediafly has created this single space that everyone can use to access the same information and have it all identical and up to date across all of production.

Have you used the tracking and analytics tools available?

We've been working with the Mediafly team to make sure that we feel really comfortable with the type of reports that we can use. Mediafly allows us to track the usage of different content. I can see which percentage of our sales force is using the content. I can also check it based on location, which is very helpful. I know who is using it and who isn't.

We also look at what content is being used and seen because we're holding a tremendous amount of information in there. If there are documents that are not being used, we can archive them. The tracking gives us good insight into what's seen and who sees it. It also informs us who the content is being shared with. 

Have you found it necessary to use any of Mediafly's support resources?

If there was a problem with the tool, we contacted their support team. That has been very rare, maybe twice since we've been using the platform. We get in touch with them, and they deal with it rapidly.

Are there any areas of the platform that are not intuitive?

The only thing is their help documents. They are very good, but they don't pertain to our setup. I know that would be the case for all of their users. Making help documents relevant to everyone's system would be difficult.

What was the business challenge your company was facing that incited the need for a content management platform?

We had a legacy system that was outdated. We had an old HTML website, and we were looking for something fun and upbeat that was mobile so that our field sales representatives could access all of our content across North America.

SOLUTION

Did your company have a formal selection process for deciding on a content management platform?

We looked at multiple vendors. Mediafly was recommended to the senior director in my department. We did an analysis across multiple vendors and found that Mediafly was the most user-friendly. Mediafly also gave us the quickest uptime from planning and scoping to launching. It was easy to use, too, and user-friendly for the end users.

What pricing plan does your company currently utilize?

We did a free trial with them, and we were very happy with the platform. We have between 400 and 500 users out there now. Our annual spend on Mediafly is confidential. 

RESULTS & FEEDBACK

Can you share any results since initial implementation of Mediafly?

Mediafly that allows us to aggregate, update, and distribute all of our content to our sales team. Within weeks of launching our Mediafly app, we had close to 11,000 hits on our Mediafly Web Viewer. That was 3,000 more hits than during the same timeframe the year before. 

Also, within that four-week period after the launch, we had 142 cities worldwide connect onto our software and our site. We had 401 unique users accessing the site during the launch period. We were looking to move away from the Web. You can still access our content through a website but, within this same four-week period, 59 percent of our users were using it through a mobile platform.

FEATURES

Were there any software features really impressed you?

The feature we were looking for was mobility, and the ability to access content from a mobile platform. Being able to get information at your fingertips off any device that you're using was very important for us.

Mediafly also has a great consumer interface so our end users have a great interface to see when they opened the app or the website. Knowing that the content that our users are accessing is always up to date is also important for us. When users open our Mediafly app, they know that the data's always current. Users can also access information offline, which was a huge plus for us as well.

Can you talk about the ease of content creation and the quality of content curation?

The content creation is done in house on local computers. Users can choose from a variety of "shells" for their mobile app. We chose one that benefits us, and we worked with our creative team to design the look of the app icon and folders within the app. From there, we created a layout of folders that worked for us and uploaded all of our content from our legacy system onto Mediafly. It's a really easy drag-and-drop interface. It's similar to browsing through Windows Explorer when looking for folders or files. It's very intuitive and easy to use.

What about the integration options?

We currently use Mediafly as a document repository, but we are working on integrating it into our internal system.

Can you speak to the tracking and analytics tools available?

Mediafly offers great reporting tools. I can see who is accessing our content and what specific files they are looking at. Mediafly also gives great insight into user activity, so I can track specific users. If certain people are not accessing the site at all, I can notify managers and share the number of views and navigation with them so they can go back to their people. We can drive traffic that way. It's fantastic

Have you found it necessary to use any of the company's support resources?

When I initially got started, I continuously referenced their training guides and materials. Their information was very helpful. It was easy to find and use. Their support is very responsive. Within a couple of hours of reporting an issue or having a question, they would get back to me with a solution. I've only had a couple of issues. Mediafly is a very useful and easy-to-use platform.

Are there any areas of the platform that you feel are not intuitive or upon which you feel could be improved?

I wouldn't change a thing. Now that we're in contract with Mediafly, our company personally wants to make changes to certain things and this is where integration comes in. The site was very intuitive to build. I think even my dad at 60 years old would be able to pick this up and figure it out. It's that easy.

What was the business challenge that incited the need for a content management platform?

Shows across our networks were using different tools to deliver production cuts. Production cuts are clips of TV episodes given to executives before they air. There were eight different tools being used to create these cuts, and that created confusion because a lot of the tools did the same thing. Also, a lot of the tools were not secure. We've actually had instances where early production cuts leaked online because they were uploaded in a tool that didn't require any type of authentication.

SOLUTION

What was your process for selecting Mediafly?

We had an in-house tool that did something similar to Mediafly. We went through a 10-week trial period of their platform, and we decided to stick with Mediafly. It was significantly better than what we were previously using.

What is your annual spend on the platform?

We didn't pay for any products when we shortlisted Mediafly, but we tried some of their products before deciding. The final price of the project is confidential.

RESULTS & FEEDBACK

Can you share any metrics or overall results of implementation of Mediafly?

Each month we do an office review of how many Mediafly accounts have been created and how many videos have been played and uploaded. We launched in March 2014, and year-over-year growth has been astronomical. We started with 200 accounts. We're now at 2,600. Before there were 500 videos plays a month, and now we're at 4,600 video plays a month.

FEATURES

Were there any features that really impressed you?

Mediafly has a very flexible permission structure. It has a collaboration feature where users can make public comments on particular episodes. Their talent is great. They're a good group of engineers that can take my needs and build what I'm looking for. I've been able to steer a lot of their product evolution to help meet my needs. That's incredibly powerful.

Have you found it necessary to use any of the support resources?

We have tapped into their guides and documentations. It's very comprehensive.

Are there any areas of the platform that you feel could be improved upon?

Their focus is on security, but there are some instances where I need to share content that's not secure or needs to go to people without accounts. That's one thing they're working on for me, and that feature hasn't been released yet.

What was the business challenge your company was facing that incited the need for a content management platform?

We were looking to streamline our communications to our sales teams by leveraging a mobile app. All information was communicated via email, through laptops. When we provided new content and documents to the sales teams, the managers would print everything out. With PepsiCo, things change very quickly, so the information would become outdated very quickly, and we would have to send new, up-to-date documents. We wanted to provide the sales team with real time, live information and allow them to be mobile, so they weren't dependent on their laptops and printed documents.

SOLUTION

What was your selection process for deciding on a content management platform?

A fellow PepsiCo employee recommended Mediafly to us.

Was your company considering other platforms?

We did a lot of research on various content management software. We looked at Microsoft's and IBM's solutions. All of these platforms could make our employees mobile, but Mediafly's platform was more engaging with the customer and was more effective at pushing out information.

Did you initially begin with a trial period?

We did an internal pilot for six months before we launched nationally. We pay per license fee, so it's per user per month. The cost of the platform is confidential.

RESULTS & FEEDBACK

Can you share any results from your implementation of Mediafly?

Our user base is expanding. We started with about 500 users, and now we're at about 4,000 users. We're hoping to grow to 10,000 users in the next year. Our team is more efficient and productive. Before using Mediafly, our sales meeting lasted an hour a week or more. That meeting is now getting down to 30 minutes, and our sales representatives do not come back to the office as much. Now, they only really need to come in once a week.

Not only has Mediafly been a time saver, but, when we met with one of our customers, Target, they informed us that customers are really giving positive feedback on Mediafly as well. Sales are a lot easier to do without needing to go through documentation on a laptop. Sales representatives can pull up our promotions in our stores in real time. The feedback has been overwhelmingly positive from our sales teams and our customers.

FEATURES

Were there any features that really impressed you?

We've been able to create a customized dashboard on Mediafly. We can open up a laser presentation, and there's a built in laser pointer so you can directly present from Advantage, which is our personalized dashboard. We can create and give presentations directly to our customers.

It also allows us to annotate documents. So, if we create a cell sheet, we can pull it up and make some comments on it. We can then flip that right to the customer. 

Mediafly also has a feature called "My Ideas." I can put my personal content out there. If I'm seeing a customer, and it's my personal presentation to Wal-Mart, I can put that in the same area where all the public information is. A lot of our users used Dropbox, Google Drive, and other similar products. Now, we do it directly using Mediafly. That has helped increase our usage. Our employees are using Mediafly for their personal content as well. It's a very comprehensive and useful content management system. It works great for us.

Can you speak to the ease of content creation?

Once the dashboard is created, uploading the content is extremely easy. That's what we hear about the most from our team. When we do it on the laptop, we drag and drop content onto the screen, and it feeds the Advantage app very quickly. It's user friendly, very intuitive, and quick and easy to update. If we want to modify or update pictures on the app, it's an easy process.

Can you speak to the tracking and analytics tools available?

We've been using Mediafly for two years, and the analytics inform us on how our sales team is using the content. We get to see how the content is used based on location as well. Because of the analytics it provides, Mediafly allows us to build our roadmap and adjust our game plan.

Have you found it necessary to use any of the company's support resources?

They provided some training videos in the past. We've never had any issues with the platform, and the Mediafly team is very responsive.

Are there any areas of the platform that you feel are not intuitive?

We're very happy with Mediafly. We're a very different client than what they've had in the past. Both our company and their company have grown extensively, and they've been great at adjusting to those changes. They've been able to grow too. We've complemented each other to grow in the right direction.
