Recommendations:

Managing your company's payroll can be overwhelming. The payroll services available now makes it much easier than back in the "old days" of truly manual payroll. I find that many of the payroll services are consistent. Payroll software with QuickBooks, AccountEdge, or other similar desktop payroll platforms is going to cost less per payroll than a payroll service will. As such, you will need to process all the tax forms yourself as well as manage the payroll tax payments, and so on. Online services like Intuit QuickBooks offer peace of mind since they will complete all payroll tax forms and – depending on the level of service – will manage the entire process through a full-service payroll feature.

Experience:

We have employees in several different states. Keeping up with the changing tax laws in each state can be challenging as well as tax reporting in general. We currently have a main administrator. However, the platform is simple enough for anyone in accounting to use. Our employees love the direct deposit feature as well as being able to view their vacation time available. It's convenient that the employees can also download their W-2 forms from their dashboard.

We've been using the service for a few years now. We use QuickBooks and had been using that to process payroll in-house as well as all tax forms. Not only was it time-consuming, but there is also always room for error, even with the payroll function enabled. It costs about $800 to $1,000 per month. We are happy with Intuit Payroll and have no intention of changing at this time. I have only had the opportunity to call support once, regarding the integration of a timekeeping system. They weren't extremely knowledgeable in the integration of their own product, so that was a little disappointing.

Pros:

The most valuable feature is the ease of running payroll. The dashboard makes it simple and quick. Being able to pay my hourly, salaried, and independent contractors at one time is a huge time savings. The mobile app is extremely valuable. Sometimes, being at a desk is not possible, or the Wi-Fi single isn't reliable. The app provides an additional resource to ensure payroll is completed on time.

Cons:

I would like to see Intuit provide a good, reliable, online time card system that our hourly employees can use to enter their time, eliminating yet one more step in the payroll process. So far, the third-party apps either don't integrate fully or are a little weak.

I am extremely happy with our service. The initial implementation was a bit of a process, but I worked with one person, and it was relatively seamless. Once it is all set up, you just log in to the system and start using it. It is very user-friendly, always available, and quite affordable. They also send email notifications when payroll needs to be submitted, tax withdrawals, tax filings, when W-2s are mailed out, and so on.

Experience:

I originally just did payroll myself through QuickBooks. Our accounting firm decided they were no longer going to file our quarterly payroll taxes. I looked for a service that would handle our payroll and file our taxes. I wanted something that was easy to use and affordable. Since we already use QuickBooks, this was one of the options I considered. I process payroll bimonthly for about 22 employees, export the data for payroll and tax withdrawals, and then import into our QuickBooks system. I print paystubs, use reporting to distribute IRA funding, and keep full employee details, such as salary, hire date, and so on.

We started using the service in October 2013. It is simple to use, affordable, and they have one of the best, most efficient customer service teams I have ever worked with. The initial software cost was about $400, and there is a monthly fee of about $150, depending on the number of employees. I plan on using this service indefinitely – I am very comfortable with it, and it works very well for our business. I already touched on support but, in addition, they also provide email contacts for their tax department. I use this to send our updated Illinois SUI [state unemployment insurance] tax rates. We also had Illinois tax credits to apply last year, and the tax department handled all of that for us.

Pros:

Having access to the friendly, knowledgeable customer service team is invaluable. I have called them on several occasions, and my issues have been addressed immediately. It is wonderful to be able to call and talk to a live person.

Cons:

It would be nice if the service could be integrated with QuickBooks so that the payroll, tax information, and so on were automatically imported.

Recommendations:

Do your research and make sure it's the right product for you. The chances are it is, but there may be a little bit of a learning curve before you get the full benefits.

Experience:

I have used Intuit products (QuickBooks in particular) for a long time and over multiple industries & jobs. It's the one product that has been solid and easy to use, while providing all the features I need to efficiently run a small business with the fewest interruptions. The only downside would be that it can be a little complicated to get to grips with. The help menus and links to online resources, as well as the accountants copy feature have been quite useful. It has performed well for accounting & payroll and keeps everything in sync: e.g., tracking invoices, bills, orders, and expenditures.

Pros:

Although it can be overwhelming, it has everything to hand with a lot of the most helpful/necessary features right there on the home page. It's also a fairly standard software so I have no problems integrating other products with it.

Cons:

It's not easy to correct mistakes.

Recommendations:

I say give it a try. There are often trials you can use to try before you buy, and you will either click with it or you won't. There's some trial and error with payroll software, and you have to find the one that works for you. In my experience, QuickBooks is the best for small (and tiny) businesses without a full-time accountant or bookkeeper because it is the most user-friendly to those without formal financial training.

Experience:

We needed a solution that didn't cost a lot (since we are still a tiny business with only a few members on payroll), but was better than just having a set of spreadsheets. I had used QuickBooks in the past and liked that it was relatively inexpensive and easy to use. I like that is safe and helps us see issues as they arise.

We currently use QuickBooks for accounting - we use it instead of spreadsheets and to create bills for our clients as needed. We don't use it to make direct deposits to our employees. It has worked really well for us! It has made things really streamlined for us, reducing the amount of time we spend at the end of each month and at tax time dramatically. It still takes some time to enter the data, but any program would. It has benefited us by making our accounts more concise and up-to-date.

Pros:

I like that we can access it from anywhere. We sell online as well as in-person, where we often travel to a location to sell. I like that all I need is my laptop to enter in the data for the day, no matter where I am. I like that everyone on the team could use it if they had to, including people who are not involved in the finances usually.

Cons:

The only problem we have so far is the same problem we would have with any other program - our business doesn't work like most other businesses, so the way we want to split money isn't an option with the software. It assumes that you have 1 boss and employees, whereas we have multiple co-owners and split things based on who made what and who had input. It's not the same from item to item, making it hard to track with traditional business software.

Recommendations:

QuickBooks is very convenient and worth every penny. It is the best tool my company has. It frees up your time to do more important things.

Experience:

Prior to using QuickBooks, we were doing all calculations by hand and then handwriting payroll checks. It was very time consuming and subject to errors. Now payroll is done quite quickly. We use QuickBooks for recording hours, printing checks, printing tax forms, and for submitting payroll tax. It has streamlined the payroll process. Now I spend a fraction of the time I used to on payroll. QuickBooks performs very well with no glitches.

Pros:

I love the simplicity in submitting payroll taxes. It's much quicker and easier than the old way.

Cons:

I hate having to renew and update. It just takes way too long on my computer.

Recommendations:

If you are familiar with the QuickBooks software and need access to that, you can invoice and receive payment as quickly as possible. I would not hesitate.

Experience:

I was already familiar with the QuickBooks accounting software. We're a service business, so no need to track inventory. All the usual features are used - two main ones being invoicing sales and payroll. There's an easy learning curve, since I was already familiar with the software. Now that it is online, I have access to it anywhere I have an internet connection (which is most places nowadays) on my laptop, tablet, or phone. Especially useful is the phone access. When I have a few minutes, I can take care of a small task, which prevents them from piling up. I don't get behind schedule on my accounting, which means I usually get paid on time.

Pros:

I like the ability to access it anywhere, anytime, on whatever device I have available.

Cons:

It's more complex than my business, of a relatively small size, which can make it confusing.

Recommendations:

I recommend having a specialist of your own to inquire about multi-state laws (if necessary). The Intuit employees seem to know their system very well but do not really seem to be payroll specialists. Also, I would strongly consider researching other options before signing up. There have to be better accrual and salary systems out there.

Experience:

It was already in place before I came on board. There were no problems that I am aware that needed to be solved. I personally have run into issues with their online system not always working, not being compatible with Safari at times, customer service chat specialists are not always informed on multi-state tax regulations. The features we use are Payroll processing, Direct Deposit, Vacation Accrual, Sick Pay Accrual, Tax and Wage Reports. In general, it performs well. Quick and easy payroll setup. It saves me time and makes payroll easy.

Pros:

I like how quick it is to use and how (generally) easy it is to use. There are minor issues here and there, but overall I think it is a generally efficient and user-friendly system.

Cons:

Inability to accrue certain specific PTO like military days etc. Inability of the chat specialists to fully answer my questions at times. Also, if giving an employee a raise mid-pay cycle, there is no real easy way to do that other than outside calculations on my own and adding the calculated amount as another line item to the pay.

Compare your programs, give the free trial a try, look at the different levels of sevice offered, start with a lesser package just in case you really don't need some of the other services.

Experience:

I did not select the program- it was fully functional when I came on board. One reason we chose it was it was easy to use and integrated well with other programs also in place. The cost was reasonable for such a small company and did not require a dedicated department. We have the pro version, so we use it to track hours and expenses of workers, especially those who work remotely. We can create invoices and estimates that are easy to do and very professional looking. We incorporated our own designs and logos into all communications for a better presentation of our company . We synced it with our bank and bill paying systems plus can use their apps if we want. We also do our 1099. I am satisfied with it, especially for the cost. It has great automatic upgrades, saves a lot of time and money since we don't need the accountant to do the more simple tasks, we do them in house.

Pros:

It's easy to use and no need to spend a lot of time training a temp when the regular is out for vacation. It saves money since we can create our own invoices and spread sheets. Use it for bill pay and can use it across all devices, in office or on the road.

Cons:

For us it has been perfect = no complaints.

If you can read and follow directions, have a bit of computer skills, and want to save time and money, then QuikBooks Desktop is a good economical payroll solution.

Experience:

I wanted something that was a one time cost without any ongoing fees. I run a small business and needed something I could use to quickly to handle payroll myself. This gets the job done and is easy to understand and easy to use. I use it to calculate payroll tax withholding, generate reports, keep track of hours worked and overall pay, generate W-2 forms. It works fine. It does what I need it to do and saves me money for not having to pay monthly fees or pay to have someone else take care of my payroll for me.

Pros:

It's simple and easy to understand and easy to use; you don't have to be a computer expert to use it.

Cons:

I can't think of anything. I am able to quickly and easily do the things I need to do with it.

QuickBooks is a wonderful program! The company is always improving and making updates available and easy to improve the consumer experience. Easy program to use and it literally does everything for you!

Experience:

Very easy to learn, and tech support is very helpful when running into any issues. Though our company has to pay to keep the phone support which I think is ridiculous. All features used. Performance with QuickBooks is definitely worth the money! It has made keeping track of everything from employee hours to their specific individual deductions very simple to manage.

Pros:

My favorite thing about QuickBooks online is that all payroll factors can be completed within the program including printing payroll checks. It is a great tool for our business because it saves us a lot of money from outsourcing to a payroll.

Cons:

The issue I have with QuickBooks online is when making mistakes it is not so easy to correct them without a lot of extra time to do so. I would much like phone support available at no cost to better meet my needs.
